The Shipping Documentation Specialist II coordinates the preparation and organization of bills of lading, packing slips, invoices, and required export licenses or compliance documents. Prepares shipping documentation and processes orders. Being a Shipping Documentation Specialist II troubleshoots shipping delays or changes with carriers and communicates to customers. Utilizes enterprise resource planning (ERP) or other systems to record and track all shipping transactions. In addition, Shipping Documentation Specialist II ensures shipping protocols and documentation meet required regulatory requirements for hazardous materials (DOT/HAZMAT) or special handling. Responsibilities:
1. Execute all tasks assigned by the warehouse/logistics Manager.
2. Collaborate closely with the Warehouse Manager to gain expertise in all aspects of warehouse operations.
3. Ensure compliance with all safety standards among warehouse team members.
4. Prepare Packing Slips and manage all paperwork (including Daily Pick slips, returns, production reporting, BOLs, Inventory summary, etc.).
5. Proficient in operating a forklift.
6. Conduct physical inventory counts and maintain accurate inventory records.
7. Demonstrate proficiency in Microsoft Office, particularly Microsoft Excel.
8. Complete Shipping logs on a weekly basis and furnish them to the QC department.
9. Process all Amazon and online orders, including necessary paperwork.
10. Generate and apply various types of labels to boxes as required.
11. Physically prepare orders for shipment.
12. Utilize Shipstation for label creation, including both prepaid and third-party paid labels.
13. Fulfill sample requests efficiently.
14. Welcome and assist drivers, ensuring they receive the correct POs and paperwork, and gather necessary information from them.
15. Liaise with other departments to ensure timely completion of tasks and fulfillment of warehouse requests.
16. Coordinate with fellow warehouse associates, ensuring they have necessary equipment and paperwork for their tasks.
Job Requirements:
1. Must be at least 18 years old with a high school diploma or GED.
2. Fluent in Spanish.
3. Highly organized with the ability to maximize storage space efficiently.
4. Strong decision-making and problem-solving skills.
5. Flexible availability for overtime work.
6. Proficient in computer operations and printing tasks.
