The Shipping Documentation Specialist II coordinates the preparation and organization of bills of lading, packing slips, invoices, and required export licenses or compliance documents. Prepares shipping documentation and processes orders. Being a Shipping Documentation Specialist II troubleshoots shipping delays or changes with carriers and communicates to customers. Utilizes enterprise resource planning (ERP) or other systems to record and track all shipping transactions. In addition, Shipping Documentation Specialist II ensures shipping protocols and documentation meet required regulatory requirements for hazardous materials (DOT/HAZMAT) or special handling. Investigates and resolves shipping non-conformance. Requires a high school diploma. Typically reports to a supervisor. Being a Shipping Documentation Specialist II works under moderate supervision. Gaining or has attained full proficiency in a specific area of discipline. Working as a Shipping Documentation Specialist II typically requires 1-3 years of related experience, or may need 0 years of experience with additional specialized training and/or certification.     SUMMARY: Provides business office clerical assistance by performing the following duties.

    ESSENTIAL DUTIES AND RESPONSIBILITIES: Ability to perform the following duties along with all other duties as requested by the Shipping / Transportation Supervisor. It is the responsibility of each individual at AWG to provide ultimate customer service to our members to support their efforts in increasing same store sales and profits.

    • Maintain all files involved with Billing Control System (BCS), Billing Maintenance System (BMS), and Sales Order Supplement (SOS).
    • Track equipment usage and report on anything missing
    • Organize and manage handbills to the member stores
    • Put delivery paper work and invoices together for the drivers
    • Organize interdivisional transfer paperwork

    QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.     EDUCATION and/or EXPERIENCE: Degree or equivalent; or one to two years related experience and/or training; or equivalent combination of education and experience.

    LANGUAGE SKILLS: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

    MATHEMATICAL SKILLS: Ability to calculate figures and amounts such as percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

    REASONING ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

    CERTIFICATES, LICENSES, REGISTRATIONS: Valid Driver’s License.

    OTHER SKILLS and ABILITIES: Computer literacy; office procedures; knowledge of Oklahoma, Texas, Kansas and Missouri; ability to read maps; working knowledge of the union contract; and grammar, standard English usage, punctuation, and spelling. Must be able to operate a car.
