POSITION SUMMARY:
Responsible for Shipping/Receiving verify orders, productivity levels, maintenance and enter incoming shipments, distribute items, organize, and maintain accurate files and records :for all areas of the Oneida Community Health Center. Incoming shipments may include, but are not limited to, supplies and materials, machines, equipment, records, sensitive forms, etc. Train personnel to ensure a well-coordinated shipping and receiving plan. Maintain confidentiality of all privileged information. Continuation of this position is contingent upon funding allocations.
DUTIES AND RESPONSIBILITIES::
- Provide excellent customer service for all internal and external customers of the Health operations at all times and in all activities. Establish and maintain effective working relationships with all internal and external customers of the Oneida Community Health Center. Provide solutions for customer concerns and continually focus on customer service as our top priority.
- Develop, maintain, and facilitate effective relationships, communications processes and activities with all Health Division personnel and all other internal and external customers. Ensure established procedures, and processes are utilized at all times, to ensure maximum understanding and coordination are in place. Attend department meetings to ensure effective communications take place.
- Inform supervisor of recommendations/ideas for improving all areas of this position to include ideas on improving customer service systems or activities.
- Ensure compliance with all regulatory requirements in all areas at all times. Adhere to established quality, service delivery, customer service, and customer demand expectations. Adhere to all audit, and legal regulations/laws and practices.
- Coordinate the Shipping/Receiving Area to select and receive products at the facility in a productive and cost-efficient manner. This includes shipping, receiving, sanitizing, maintenance and inventory control.
- Process staff orders, enter requisitions in the Purchasing Module to obtain a Purchase Order.
- Enter receivables and disbursements on computers for all areas.
- Verify accuracy of invoices, confirm with areas for receipt of goods, and process invoice for payment to Accounts Payable.
- Deliver supplies to designated departments as requested.
- Organize and maintain accurate files and records file and cross-files pertaining to Health.
- Retrieve information, records, files as requested from all business units within the Health Center.
- Compose routine correspondence as needed or requested with internal and external vendors.
- Develop and conduct a records inventory when necessary and interpret the results for retention and disposition schedule that will meet the Nation’s requirements.
- Keep a running inventory of supplies for departments as needed. Process order at reorder point or Notify each department when supplies need to be reordered.
- Report all equipment issues to the Supervisor to ensure the Shipping/Receiving specialists have safe, efficient equipment to perform the distribution functions.
- Maintain consistent communication with Accounts Payable and Purchasing regarding new items, change of brand names and change of locations.
- Package orders for out-of-town shipments.
- Handle return shipments to manufacturer as needed.
- Administrative duties as defined.
- Contribute to a team effort and accomplish related results as required.
- Maintain strict departmental security, confidentiality, and quality to meet professional standards of the department.
- Adhere to all Tribal Personnel Policies and Procedures, Tribal Standard Operating Procedures, and Area and Program Strategic Plans and Policies.

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT::
- Frequently stand, walk, talk, and hear, handle, feel, reach with hands and arms, climb, balance, stoop, kneel, crouch, crawl, reach out and pick-up and hold small objects and lift and/or move up to thirty (30) pounds.
- Occasionally sit and lift and/or move up to one hundred (100) pounds.
- Work is generally performed in a warehouse setting with a moderate to high noise level. Some work is performed in a Health Facility setting.
- Evening, holiday and/or weekend work may be required. Extended hours and irregular shifts may be required.
- A Tuberculosis (TB) Screening and/or TB Skin Test are required within thirty (30) days of employment and annually thereafter as required.

- Forklift Certification or willingness to obtain forklift certification.

- Must comply with Caregiver Law and Grant conditions criminal history checks as a condition of employment to include fingerprinting.
- Must pass a pre-employment drug screening. Must adhere to the Tribe’s Drug and Alcohol-Free Workplace Policy during the course of employment.
- Must pass a background security check with the Oneida Nation in order to meet the Employment Eligibility Requirements, Tribal/State Compact and/or Oneida Nation Gaming Ordinance as they pertain to the position. A temporary license or Gaming License issued by the Oneida Gaming Commission is required as a condition of employment and continuing employment within the Oneida Nation’s Gaming Division.
- A valid driver’s license or occupational driver’s license is required. Must obtain a Wisconsin driver’s license or occupational driver’s license within thirty (30) days of employment if applicant has an out-of-state driver’s license. Must be authorized as eligible to operate a Tribal vehicle under the Oneida Nation’s Vehicle Driver Certification and Fleet Management Law prior to actual start date. Must maintain driver’s eligibility as a condition of employment.

- Two (2) years’ experience in warehousing, or handling stock and materials; one (1) year experience in accounting and inventory control; an equivalent combination of education and experience may be considered.
