Troubleshoots shipping delays or changes with carriers and communicates to customers. Additionally, Shipping Specialist ensures shipping protocols and documentation meet required regulatory requirements for hazardous materials (DOT/HAZMAT) or special handling. Position Summary
Responsible for assisting the Warehouse Manager with the daily transportation support of the Moselle facility including organizing and processing shipping orders, routing shipments, scheduling carriers, and entering shipping information. This position has a high degree of interaction with employees in Corporate Customer Service, Traffic and Purchasing, Warehouse, and MIS departments. This position also has a high degree of interaction with the transportation companies on a daily basis.
Essential Job Function
Actively pursues continuous improvement in a team environment while ensuring you contribute positively to providing total customer satisfaction while improving the environment. Participates in Scanned Physical Inventories as needed.
Receives, organizes and enters shipping orders in software program and mainframe network.
Ensures all documentation for shipments are in order including proforma invoices, commercial invoices, certificate of origin, and NAFTA.
Schedules pick-up of freight and notifies carrier of pick-up date.
Compiles shipping information for shipping log/late order tracking.
Completes Federal Express, DHL, etc and UPS shipping labels and notifies them when pick-up is needed.
Inspection of outgoing orders to ensure accuracy. Including LTL, Grainger, Uline, etc.
Obtains freight quotes as needed for shipments while ensuring customer specific requirements are met.
Uses vendor portal websites to route orders following customer specific requirements. i.e. Grainger and Amazon
Schedules containers and prepares all necessary documents for international shipments.
Maintains all updated routing guides.
Determines parcel post rates and generates postage stamps.
Traces any shipments at request of Customer Service Department.
Provides information related to orders, changes, and status of delivery to management, corporate customer services, etc.
Maintains records and files related to own work. Organizes records and work efforts to assure timely accomplishment of tasks.
Manages freight claims for the Moselle division
Enters billing (PRO#’s and postage charges) information into system (for freight charges)
Maintains administration functions (filing) as it pertains to Visual Management.
Performs other duties as assigned.
Job Qualifications
High school graduate or equivalent.
Two years shipping experience.
Knowledge of international and domestic shipping requirements & regulations.
Must be computer literate, preferably experienced in Excel and Access.
Ability to organize, set priorities, meet deadlines and perform multi-tasks.
Excellent communication and interpersonal skills.
