    The Arc of Mid-Michigan is a nonprofit organization that has been in Shiawassee County since 1956. The organization expanded into Ingham, Clinton and Eaton counties in 2019. Our primary goal is to advocate and promote inclusion for individuals with developmental disabilities in the communities we serve.

    QUALIFICATIONS:

    • Undergraduate Degree in the field of human service, business, or a related field preferred. A combination of 1 year experience, demonstrated knowledge and/or education may be substituted for a degree.
    • Proven professionalism while collaborating with various managerial levels.
    • Good communication skills, verbal and written; strong organizational, mathematical, and time management skills.

    DUTIES AND RESPONIBILITIES:

    Reporting directly to the Executive Director, the Administrative Assistant/Social Media Manager is required to perform the following duties:

    • Schedule interview date and times by phone for all NCI grant surveys. File assembly by county, copy documents as necessary. Scan and mail completed surveys. Update weekly tracking report.
    • Maintain and balance bingo accounts monthly by the 31st for monthly deposit if possible, do quarterly reports for submission to the State of MI.
    • To handle all payments, rent checks, all incoming fees for fundraising and programs. Make at least one bank deposit of funds weekly. Balance petty cash account weekly.
    • To assist in public relations and public information within the community, providing information about Arc programs and services on social media sites and through email.
    • To coordinate the Operation Friendship Program with local churches, send gift request letters, appeal letter, coordinate gift wrapping, and gift deliveries.
    • Prepare information for by-monthly newsletter. Make sure all information goes to printer between the 10th and the 15th of the month before newsletter is due.
    • Send appeals. Keep Executive Director apprised of dates, and how much time is needed for mailing.
    • Send thank you letters to all donors within 48 hours of receipt of donation.
    • Fulfill the annual volunteer hours required.
    • Prepare and send membership renewals monthly, thank you letters for renewed memberships with cards, and lapsed membership reminders when needed, update National membership registry monthly.
    • Prepare packets for monthly meetings and keep board and finance binders up to date.
    • Prepare monthly invoices for program participants, and fundraising. Advise ED of anyone who is 90 days in arrears.
    • Answer incoming main line phone calls, screen calls before forwarding on or taking messages.
    • Maintain good working relationships and cooperation with other Arc Mid-Michigan employees.
    • Check incoming office mail at least once a day. Open and file documents and bills appropriately. Including Representative Payee and Guardianship mail.
    • Order office supplies, ink supplies for printer. Update postage meter.
    • Handle office recycling.
    • Call contractors for repairs at Tobey Apartments and follow up to make sure they are completed.
    • Submit bills and important documents to ED immediately. Mail payments after ED drafts checks.
    • Maintain all social media platforms with at least one post per week.
    • Other duties as assigned.

    Traditional office hours are Monday – Friday 9-5, however hours can be flexible. Friday hours can be remote or the position can be 32 hours per week with Friday off.

    Benefits/Salary: hourly wage, PTO accrued on hourly basis from first day of employment, 403B Plan with employer match up to 3%, 11 paid holidays, cell phone reimbursement.
