    Job Summary:
    Events are a critical piece of the Kitty Hawk Kites marketing strategy, and this role is important to the marketing team, our company and its success. The Events & PR Coordinator must be highly motivated and well organized with strong interpersonal skills. The person in this role must have the ability to deal at times with stressful situations and strict deadlines. The Events & PR Coordinator will plan and execute events from start to finish, leading a dedicated in-house team and external contractors. As the primary point of contact for all marketing events, you will primarily coordinate with Kitty Hawk Kites staff, business owners, sales and marketing teams, and local government liaisons.

    Essential Duties and Responsibilities:
    Include the following; other duties may be assigned as needed:
    • Plan and execute the events listed on Annual Calendar of Events as well as other community events
    • Create and Manage budget for marketing events
    • Responsible for vendor negotiation and contract execution
    • Coordinate with related retail or recreation managers for all aspects of event planning
    • Conduct outreach with related retail or recreational groups, clubs, and other organizations for support in the form of volunteers, event support, and sponsorships
    • Garner support for events in the form of sponsorships from area merchants, product vendors, media, local and state tourism industry partners
    • Coordinate event mailings (digital and print) to participants and organizations
    • Create event promotional materials & promotion opportunities (i.e. Co-op with other events, etc.)
    • Coordinate and execute the distribution of event promotional materials and other Kitty Hawk Kites marketing materials
    • Work with Marketing Director to assure proper cost control of event advertising and execution
    • Work with Marketing Director on all pre- and post- PR of events including press releases, contacting press for photo-ops, etc.
    • Coordinate with retail and recreation managers to secure staffing for events
    • Coordinate event concessions
    • Coordinate retail operations at events
    • Write event wrap-up / reporting document and review with Marketing Director; as well present to managers at next staff meeting
    • Required to attend all events including set-up, break-down, and running of event
    • Assure event is effective as promotion for Kitty Hawk Kites / Kitty Hawk Surf Co.
    • Assure proper exposure is achieved from event, including in-house photography
    • Conduct kite-making/toy demonstrations at other affiliated events
    • Coordinate with Marketing Director to create an achievable and effective Calendar of Events
    • Responsible for listing all events in magazines, trade publications, related web sites, tourism industry publications, etc. and keeping a database listing
    • Create and implement Seasonal Kids’ Programming
    • Create programming to attract kids and parents into the retail stores – including but not limited to Kids’ Days
    • Run Kids’ programming – including kite making, face painting, Wilbear, balloons, etc.
    • Responsible for gathering supplies
    • Report weekly to the Marketing Director on the effectiveness of events and other initiatives
    • All other duties as assigned

    Supervisory Responsibilities:
    • Supervise day-of event staff
    • Supervise summer marketing/events intern and plan daily schedules

    Note: This position does not require full-time year-round supervision of others but does have seasonal responsibilities. Depending on the size of the event, direct supervision of 10-20 people may be required. Throughout the summer season, expect to supervise up to 10 people on a regular basis.

    Education, & Experience:
    • Associates Degree in Marketing, Business Administration, Recreation or other related field Required (Bachelors’ Degree Preferred); or equivalent combination of education and experience.
    • 1-2 years of experience in event management, customer service, or another related area
    • Proficient in Microsoft Office suite
    • Proficient in Facebook page management for events listings
    • Functional proficiency in Adobe Creative suite and Wordpress a plus

    • Excellent vendor management skills
    • Must be able to effectively read and interpret information, present numerical data in a resourceful manner, and skillfully gather and analyze information
    • Ability to manage and complete multiple assignments at the same time with great attention to detail and a positive attitude.
    • Must be organized, accurate, thorough, and able to monitor work for quality
    • Outgoing, friendly, and confident with exceptional communication skills



    Working Conditions:
    • The office work environment for this position is generally an indoor controlled environment. Noise level is moderate; expect noises like office machines and light traffic. Outdoor work will be required for the execution of events.
    • May be requested to work evenings, weekends and holidays.
    • May be requested to drive company vehicle to other locations.
    • May be required to travel out of state for off-site events.

Lifting will vary greatly but expect to lift up to 50 lbs. on a regular basis and up to (or more than) 100 lbs. on occasion (team lifting is advised). Good vision is a must in this job, close, distant, color, peripheral, depth and ability to adjust focus are all important.
