    Job Summary: Responsible for the overall direction and strategy of library special events and event-related initiatives, including planning, implementation, fundraising, sponsors and follow-up. These high-profile events create visibility for and help to convey Carnegie Library of Pittsburgh’s (CLP’s) mission, cultivate donors and raise funds and awareness for CLP. Reporting to the Director of Communications and Creative Services (CCS), this position also oversees the Special Events & Venues Assistant and related staff.

    This position collaborates and aligns special event priorities with the Library’s Director’s Office, External & Government Relations department, Communications and Creative Services department and the Office of Programmatic Services. The Manager, Special Events actively seeks opportunities to advocate on behalf of the Library and develop partnerships and collaborations to improve and expand the quality of events. The manager also oversees the internal and external use of the Library’s two main venues, the Main Library Lecture Hall and the Homewood Auditorium.

    Essential Functions:
    • Develop a proactive strategy, comprehensive plan and organized calendar for system-wide events;
    • Direct and coordinate planning and execution logistics for all special events, including established events (e.g. Extravaganza) and individual events (e.g. fundraisers, CardFest);
    • Proactively seek opportunities to increase attendance, venue bookings and net event revenue; including writing promotional plans, drafting copy, creating venue marketing plans and partner agreements, and approving promotional materials;
    • Create and develop new large-scale events as required that raise awareness, increase corporate sponsorships, follow the mission of CLP and cultivate donors;
    • Work with Development team to ensure a high degree of donor retention and satisfaction;
    • Keep up-to-date on all CLP programs and events in order to proactively identify when guidance and assistance is needed;
    • Maintain thorough details of expenses and revenues, including quotes, contracts and receipts. Manage an overall Events budget as well as individual budgets for each event;
    • Direct and supervise associated support roles, such as the Assistant for Special Events & Venues, to ensure all related activities and schedules are coordinated and leveraged to provide the best outcomes for CLP;
    • Oversee the work of the Assistant for Special Events & Venues and related staff or interns working on content, along with any other similar assistance;
    • Recruit, train and provide leadership to volunteers, committees and interns;
    • Mobilize volunteers, committee members and donors to become more involved and increase donations;
    • Other duties as assigned.

    Competencies and Qualifications:
    • Experience in major event planning and execution, including working with vendors, sponsors, committees and event staff/volunteers;
    • Excellent in teamwork, collaboration, and the ability to build and maintain relationships, communicate effectively and persuasively; enjoy working in a team environment, and display an attitude of helpfulness;
    • Ability to generate interest in the organization and to create events that build awareness of library value as well as donor gifts;
    • Excellent interpersonal skills, including the ability to speak clearly, thoughtfully, and with conviction; the ability to be a good listener, exhibit a positive and enthusiastic outlook, enjoy working with people;
    • Ability to lead groups and committees of volunteers, staff, board members, community members and others; schedule, supervise, assign, and evaluate the work of others, including volunteers;
    • Knowledge of development and principles of fundraising; Ability to ask for in-kind donations and negotiate with vendors;
    • Proficiency with computer equipment and relevant software and audio visual equipment;
    • Knowledge of the place of the library in relation to government, educational institutions and the larger community;
    • Excellent priority setting, organizational, project and budget management skills;
    • Ability to maintain flexibility to accommodate unforeseen circumstances and last-minute demands;
    • Must be very organized, detail-oriented, and creative;
    • Must be self-motivated, proactive, and able to set and work toward goals;
    • Must understand organizational environments, culture and interpersonal relationships;

    Education and Experience:
    • Bachelor’s degree;
    • Five years of event planning, project coordination and/or related experience;
    • Extensive experience with Microsoft Office programs, including Word, Excel, Publisher and PowerPoint with ability to easily learn and apply software project management tools.



    Physical and Environmental Conditions:
    • Must have valid PA Driver’s License and ability to travel locally and regionally with reliable transportation on independent schedule as required.
    • Must be able to work full-time hours on site and at venues with varying schedules and shifts, plus extended hours as needed, on a regular basis.
    • Ability to safely carry and lift event materials weighing up to 25 lbs; and ability to move additional weight by safely utilizing hand trucks or similar tools or devices.
    • Ability to bend, reach, stoop, walk and stand for prolonged periods of two hours or longer.
