This role is both office based sales and coordination as well as onsite event management. The events manager is responsible for the sales and bookings of events by responding to calls/inquiries and coordinating between all vendor partners. The event manager communicates with booked clients via phone and email to answer any questions, organize the logistics of the day and creates contracts and payment schedules. The event manager also does administration and marketing work.
This is primarily a sale role, but there will be dates that onsite is needed. On event days this is a hands-on role setting up the venue in coordination with client’s vendor teams and managing all site-related queries and concerns. The manager, with the help of the operations team, oversees the venue for the duration of each event and ensures that the property is restored to suitable standards and all rules/regulations are upheld.
General Responsibilities
- Take incoming calls/emails inquiring about booking the Farm for private and public events including weddings, corporate, nonprofit, etc.
- Schedule and hold site tours for prospective bookings
- Respond to all inquiries on events platforms, including Honeybook
- Develop ideas and execute on SAF programming and events
- Develop annual budget for events programming
- Drive sales and generate revenue for events business line
- Stay up-to-date with industry trends and competitor analysis to identify new business opportunities
- Maintain client files
- Maintain relationships with all preferred vendors to create seamless client experience.
- Draft and send venue contracts and invoices
- Coordinate with partners on in-house events
- Coordinate with couples on final walk through, and all venue related details
- Create weekly staff notes sheet and email outlining key details about setup, flow of event, and any notes about the couple relevant to the day. Provide as much detail as possible so the staff can reference throughout the day for questions.
- Create and edit event look books with new photos
- Coordinate social media posts
- Work with SAF team to cross-market as much as possible with farmstand, farm, winter market, etc.
Event Days (when needed)
- Run wedding ceremony rehearsals and final walk throughs
- Coordinate with and answer questions from all vendors with site/infrastructure questions
- Oversee that other vendors are adhering to property rules, confirm that vendors are completed with breakdown and offsite before leaving
- Oversee and setup inventory (tables and chairs) as required, review and order new inventory as required. Ensure all inventory returns to proper location
- Communicate with other members of event team who are onsite with any questions regarding event management
