Lead Coordinator, Events and Outreach

  • The Lead Coordinator, Events and Outreach position is responsible for planning, organizing, and implementing District community events, facilitating stakeholder relations, and coordinating all field and facility reservations.Essential Functions
    The following duties and responsibilities are intended to be representative of the work performed by the incumbent(s) in this position and are not all-inclusive. The omission of specific duties and responsibilities will not preclude it from the position. These essential job functions listed are required with or without accommodation.

    • Coordinate services for District events, including new event creation, staff coordination, and execution.
    • Review and coordinate all third-party events held on District property.
    • Evaluate assigned programs and events upon their conclusion.
    • Manage logistics and coordination with District departments and the public.
    • Work as a liaison with stakeholders, private groups, event organizers, and the community to coordinate and schedule field and facility space.
    • Process event applications, stakeholder contracts, and insurance verifications.
    • Invoice, collect, and track payments for all events, reservations, and stakeholder groups.
    • Assist in developing and recommending District regulations, policies, and procedures that govern events and stakeholders.
    • Assist the Community Outreach Supervisor and Manager in preparing annual budgets for events, stakeholders, and facility or field reservations.
    • Hire, train, evaluate, and schedule seasonal and part-time employees for assigned programs under the direction of the Community Outreach Supervisor.
    • Assist the Community Outreach Supervisor with district volunteer program, including creation of manuals, handbooks, and orientation documents as needed, as well as recruitment, training, and scheduling of individual and group volunteers.
    • Monitor event activities to ensure compliance with applicable regulations and laws, satisfaction of participants, and resolution of any problems that arise.
    • Coordinate with marketing staff to publicize events and promote sponsorships.
    • Inventory and ensure proper condition of all equipment.
    • Resolve safety and maintenance issues; report larger maintenance issues in a timely manner.
    • Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and participating in professional societies.

    • Event planning and management.
    • Field dimensions and athletic field equipment.
    • Computers and Microsoft Office applications.

    • Establish and maintain working relationships with staff and the public.
    • Create and maintain organized schedules.
    • Work independently or collaborate with a team.
    • Perform all duties with safety as a top priority.

     

    Working Conditions, Physical Requirements, and Aptitudes

    • Duties are performed indoors and outdoors, including working in inclement weather and extreme temperatures.
    • Duties primarily performed in a public setting, requiring constant interaction with a variety of people.
    • Work effectively with crowds and uncooperative individuals, difficult situations, emergencies, or periods of continuous demand.
    • Travel to sites, facilities, and other locations within the Snyderville Basin area; transport materials as needed.
    • Work a variety of shifts including evenings, weekends, and/or holidays depending on program needs.
    • This position is ineligible for remote work. Essential duties cannot be completed without being physically present.

    Minimum Qualifications
    • 21 years of age or older with a valid U.S. driver’s license.
    • Associate degree in parks and recreation, communications, hospitality, project management, or a related field, OR an equivalent combination of education and experience.
    • Two (2) years of experience in programming or event planning, six (6) months of which must be supervisory.

    The successful applicant must pass a required pre-employment background check and subsequent mandatory background checks in accordance with current District policy requirements.

    Preferred but not required:
    • Experience working with, organizing, and programming volunteers.
    Added Emphasis: Candidates must be willing and able to work a variety of shifts including evenings, weekends, and/or holidays depending on program needs.
