      Waukegan Community Unit School District No. 60 serves nearly 15,500 students in preschool through grade 12 and is located halfway between Chicago, Illinois and Milwaukee, Wisconsin on the shores of Lake Michigan. Our District has one early learning center, 15 elementary schools, five middle schools and a high school program divided between two 9 – 12th grade campuses. The District encompasses portions of Waukegan, Beach Park and Park City.

      Essential Duties and Responsibilities:
      Under the primary direction of the Manager of Student Support Services and secondarily the Director of Student Support Services and indirectly to the Deputy Superintendent of Academic Supports and Programs, the Student Support Specialist will primarily be responsible to perform functions related to Student Support Services.
      Organizational Relationship
      Under the primary direction of the Director of Academic Support Programs.
      Essential Duties and Responsibilities:
      1. Perform a wide variety of confidential and complex secretarial, clerical, and record keeping functions necessary for the efficient operations of the Department.
      2. Faxing and/or typing of memos, schedules, contracts, reports, and general copying tasks. 3. Check and distribute mail.
      4. Answer phones and emails and communicate/route messages in a timely manner.
      5. Prepare, track and enter approved requisitions for department and Welcome Center building needs and disseminate to staff.
      6. Maintain all files and records in a legible, accurate, organized manner.
      7. Attend meetings as requested and record minutes.
      8. Act as a liaison between the public and the office in such a manner as to present a positive image of the total school district.
      9. Promote educational enterprise through service to visitors, parents, students, teachers, and administrators.
      10. Assist in scheduling appointments as necessary.
      11. Maintain office equipment and process service requests and/or replenish materials when necessary and within budget allocations.
      12. Attend any and all training necessary to learn new technologies and skills requested by the Director.
      13. Maintain fiscal record keeping for local and/or grant accounts as assigned, including; entering expenditures, ensuring all items are received, processing invoices and preparing paperwork, and working collaboratively with Accounts Payable to troubleshoot any discrepancies related to fiscal expenditures.
      14. Keep accurate records of the budget the Director is assigned.
      15. Assist in the preparation and execution of other activities occurring within the Division as assigned.
      16. Schedule facilities for workshops and meetings.
      17. Assist the Director in collecting data and creating charts relating to departmental areas.
      18. Prepare student discipline reports as needed for records requests or Board and administration requests.
      19. Maintain confidential student discipline files pertaining to expulsions, suspension appeals, and Board reprimands.
      20. Input data into the transcript file for high school virtual learning classes, excluding alternative and private placement programs.
      21. Pull assigned state report extracts from the local student information system, make directed edits to the extract, upload to ISBE SIS system, and review results for errors to report to the director. 22. Perform other jobs related duties as assigned.

      Qualifications:
      1. Commitment to the belief that all children, regardless of circumstances, can achieve at high levels. 2. Good communication, organizational, computer, and interpersonal skills required. 3. Preferred ability to work with data from multiple computer environments, including but not limited to:
      Windows and/or Apple computers, student information management systems, financial management systems, email and calendar systems, and web-based applications.
      4. Effective and efficient word processing skills with knowledge of Microsoft Office suite of programs. 5. Demonstrated ability to multitask effectively and prioritize strategically.
      6. Ability to care for minute details and editing skills to ensure reliable and accurate results; verifying information for accuracy.
      7. Ability to do record-keeping, prioritize and work independently with minimal supervision and follow oral and written instructions.
      8. Be able to successfully work in a collaborative environment.
      9. Ability to interact with teachers, parents, outside agencies, and central services staff.
      10. Ability to plan, organize, schedule, and manage documents in a timely and effective manner.
      11. Pass the district’s Secretarial typing exam.

      Work: Environment: Busy office environment with multiple priorities and frequent interruptions.
