    SUMMARY

    Enhances attorney effectiveness by maintaining accurate recordkeeping of information. Sorts, classifies, and may code material for filing and/or data entry into a computerized system.

    ESSENTIAL DUTIES AND RESPONSIBILITIES including the following. Other duties may be assigned as necessary.

    • Scanning and saving incoming documents to iManage (to make them available online)
    • Retrieving and sorting mail including incoming/outgoing faxes, court documents, printouts and other legal documents for case files
    • Creating files according to firm guidelines
    • Gathering, sorting and preparing documents for filing into case files
    • Conducting inventory of Records Center and files in individual offices, war rooms, and other locations throughout the offices
    • Retrieving and returning files from offsite storage vendor
    • Creating electronic files from paper files and profiling documents
    • Keeping track of all matters to be closed and processing them in order to send them to offsite storage
    • Document filing and assembling into case files: court pleadings, discovery documents, correspondence, deposition transcripts, court transcripts, special files, etc.
    • Assisting attorneys and paralegals as necessary with document searches and requests (online or physical folders)
    • Checking in/out files and routing to the requestor if necessary
    • Moving boxes as necessary.
    • Organizing and indexing pleadings and related documents on Autonomy (IRM) program
    • Assisting in the maintenance of the file rooms including organization and shelving of case and other files

    REQUIRED EXPERIENCE

    MINIMUM REQUIREMENTS

    · Must have 2 years of Legal Records experience

    · Must know how to index pleadings and correspondence

    · Strong sense of urgency

    · Demonstrate a professional “can-do” attitude at all times

    · Comfortable working in a fast pace and changing environment

    · Strong legal document recognition skills

    · Familiarity and experience using scanning tools and scanning devices

    · Strong attention to detail

    · Experience in a law firm or professional services environment

    · Experience with Microsoft Office and iManage

    · Knowledge of Legal Records software applications, including Autonomy (IRM) and/or Legal KEY

    EDUCATION REQUIREMENTS

    · A minimum of a high school diploma or GED required. Completed coursework in legal terminology or paralegal support is highly desirable. In addition, experience and knowledge gained through previous employment at law firms or records management companies is preferred.

    TYPING/COMPUTER SKILLS

    · Knowledge and use of Microsoft Office Suite (Word and Outlook) is required. Must have the ability to type a minimum of 45 WPM. Required expert level computer indexing abilities to properly file pleadings, discoveries, and other documents. Must also be familiar with HP digital sender 9200C used to email documents directly to attorneys.

    PHYSICAL DEMANDS

    · May be required to perform occasional heavy lifting (30 pounds) of file boxes and documents

    SHIFT AND WORK HOURS

    · Regular business hours are from 9:00 am to 5:00 pm, Monday through Friday. Shift hours may vary depending on firm needs.
