    JOB SUMMARY: Under the direction of the Official Records Team Leader, the Deputy Clerk I is responsible for processing passports, processing and recording of instruments, documents, and judgments into the public records of Seminole County, assisting the professional title searchers and public in their records research(es) and/or processing marriage licenses. The incumbent may perform one or more of these functions as assigned. This position is classified as non-exempt from the overtime provisions of the Fair Labor Standards Act.

    EXAMPLE OF DUTIES
    ESSENTIAL DUTIES: Recording and Official Records: Records documents, paper and electronic, ensuring each document meets Florida Statute requirements and receives a file number, book and page number. This can be by mail, in person, or through e-recording.Performs cashiering functions; collects fees and reconciles monies. Scans document pages to digitized images, ensuring appropriate image quality standards are met. Inputs and verifies pertinent information into computer for indexing recorded documents. Indexes/verifies documents for Official Records, including names, legal description(s), and proper redactions. Provides aid to general public in records research. Communicates this in person, by phone or by email.Handles incoming and outgoing mail. Marriage Licenses: Issues virtual marriage licenses via Zoom and Docusign.Issues paper marriage licenses over the counter.Processes returned marriage licenses and mails to applicants. Maintains knowledge of marriage license best practices. Passports: Maintains adequate passport supplies sufficient to conduct business.Delivers passport applications to post office. May be required to use own vehicle to drive.Tracks outgoing passport mail until delivered to the passport agency.

    SUPPLEMENTAL INFORMATION
    KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED: Knowledge of general office procedures. Skill in the operation of computer software and hardware sufficient to enter, retrieve and manipulate data. Skill in written English sufficient to read and write reports. Skill in organizing and prioritizing work. Ability to interact professionally and maintain effective working relationships with superiors, coworkers, customers, and others. Ability to work in an environment with many interruptions. Ability to fluently read, interpret, speak, write, and understand the English Language including punctuation.Ability to fluently speak Spanish helpful but not required. PHYSICAL ACTIVITIES: Stooping, Reaching, Grasping, Feeling, Standing, Walking, Manual Dexterity, Talking, Hearing, Repetitive motions. PHYSICAL REQUIREMENTS: Sedentary Work: Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time, but may involve walking or standing for brief periods of time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met. VISUAL ACUITY: The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; using measurement devices; and/or assembly of parts at distances close to the eyes. The worker is required to have visual acuity to determine the accuracy, neatness, and thoroughness of the work assigned.
