    TITLE: Supply Chain Business Analyst

    JOB OVERVIEW: Responsible for providing Project Management, analytical and planning support to Supply Chain operations team to achieve system integration for Supply Chain Management (SCM) systems. Uses performance metrics and industry benchmarks to develop strategies for optimization of inventory management, supply spend, contract utilization, and synchronization of the supply chain with the suppliers.
    Under general supervision of the Director Supply Chain, works closely with management and end-users to develop and run custom reports using various reporting software applications, provides front end application support for SCM systems with the SCM-IT team in providing technical end-user support for SCM application systems and interfaces. These systems are Compass, EPIC, Global Health Exchange (GHX), GPO Systems, Action OI and Supply Tracking.
    Provide Project Management in all required system conversions and upgrades for Supply Chain Management and implementation of GS1 Standards for Healthcare. Responsible for the support of and compliance with UW Medicine Patients Are First initiatives, including providing outstanding customer service to every team member and every patient in all interactions.

    WORK HOURS: Typically, Monday - Friday 8 am - 4:30 pm or as required to fulfill responsibilities.

    PREREQUISITES:
    Bachelor's degree required, or equivalent years of relevant and applicable experience may substitute.
    Minimum 6 years of business or financial analysis experience, required.
    Must have experience working in a supply chain and/or relevant healthcare environment.
    Documented ability to work with computer systems such as Compass (or comparable SCMIS software), SQL, Excel, Access and any Business Intelligence application, required.

    QUALIFICATIONS:
    Ability to use and research the appropriate algebraic, applied mathematical, statistical and complex reasoning skills required to perform the analysis project.
    Ability to read and comprehend complex instructions, correspondence and follow through with the appropriate analytical methodology.
    Project Management Skills
    Knowledge of and demonstrated experience in computer skills including spreadsheets and word processing software, electronic mail, WEB based activities, and utilization of automated systems used in inventory replenishment, distribution, requisitioning, procurement and invoicing activities.
    Ability to plan, organizes, implement and complete projects on time and within budget.
    Ability to perform complex financial analysis.

    PERFORMANCE RESPONSIBILITIES

    Essential Responsibilities and Competencies:
    1. Assists Supply Chain Management with formal correspondence, and various reports as directed.
    2. Participates in analysis or upgrade enhancements that impact the Compass Infor CSF system.
    3. Drafts, Tests, and creates various documentation relative to using and testing the Compass Infor CSF
    4. Performs Regression testing within Compass Infor CSF after Critical Updates (CU) are implemented in Test or Live environments as assigned.
    5. Understands supply chain processes for inventory, receiving, distribution, handheld devices, procurement, Electronic Data Information (EDI) and Group Purchasing Organization (GPO).
    6. Develops schedule and implements end-of-year processing as it affects the MMIS or other information systems.
    7. Makes recommendations to use technology to streamline Supply Chain processing.
    8. Opens official incidents to IT for Compass Infor CSF system for issues that cannot be resolved without IT support team assistance.
    9. Works in collaboration with IT to manage and operate all Supply Chain systems.
    10. Writes, tests, and produces custom Supply Chain reports based on user specifications.
    11. Maintains Compass Infor SCF database files, tables and/or dictionaries for Supply Chain.
    12. Creates new Item Master File (IMF) records for new items, equipment, furniture, etc. in Compass Infor CSF utilizing all standardization procedures or services as advised. Edits mat codes as required.
    13. Prepares routine and custom reports as requested.
    14. Generates progress/activity reports as required/needed. Performs other inherent duties related but not limited to the above.
    15. Download all CU updates from the Infor site the 1st week of the month and work with IT Infor Environment Manager to plan testing and documentation of updates that will be implanted the 3rd weekend of the month.
    16. Keep Supply Chain and RSS training documents up-to-date, and that TIP Sheets and Videos are updated with IT Trainer
    17. Train new hires for Requisition Self Service (RSS) and Supply Chain for training in INFOR, along with IT Trainer.
    18. Monitor Supply Chain and RSS to confirm business processes are up to date and being followed.
    19. Be a member of the IT Change Control Team to enhancement requests, processes and testing in the test environment.
    20. Maintain the Item Master
    21. Maintain the PO Vendor file
    22. Run Action OI reports as requested.
    24. Analyze and prepare data to identify sourcing opportunities and support sourcing/category strategy. Drive formal Request for Proposal (RFP) process for assigned categories: Conduct market intelligence research as well as supplier financial and performance research.
    25. Drive contract compliance and product standards: Track changes to procurement and service contracts (GPO and local) to ensure changes are appropriately executed (communicated to stakeholders, negotiated with suppliers, changed in the ERP, etc.); provide data and train stakeholders to drive contract compliance and special-order reductions; assist with new product introductions as needed.
    26. Maintain Contract Catalog Quotes as price lists for all non-contract items, while working to move items to a Vizient or Local contract.
    27. Assist (lead where appropriate) various sourcing projects designed to standardize process and reduce total cost: Participate in and/or lead (as appropriate) cross-functional strategic sourcing projects with other departments to improve processes and reduce costs associated with assigned categories/commodities; assure appropriate analysis covers all processes and potential savings.
    28. Provide customer service/assistance for internal customers and sourcing team. Assist in developing and managing supplier performance.
    29. Performs other inherent duties related but not limited to the above.

    Reporting/Analysis:
    Custom reporting and analyses using data from Compass, EPIC, GPO Pricing Systems, GHX, bench marking data from GPO and Action OI.
    Works with Supply Operations teams to provide information for improving inventory utilization, expense management, system interfaces and process improvements.
    Proficient use of GPO systems, Crystal report writer to monitor and report on supply spend and usage, inventory management, contract utilization, productivity and efficiency and bench marking.
    Communicate and help develop Supply Chain metrics, goals and actual performance.
    Provides monthly reports, dashboard reports to the Supply Chain Management team and various hospital oversight committees
    Develop long term procurement strategies, systems and procedures which will support current Valley Medical Center and/or UW System programs and continued growth.

    Database Administration:
    Works with Supply Chain staff and IT to maintain integrity of Compass Item files and utilizing GHX.
    Performs UNSPSC analysis and maintenance.
    Understands GS1Standards for Healthcare
    Monitors interfaces with Purchasing and Inventory systems, Compass GPO Contract Management GHX Nuvia, EPIC, ADT and billing systems.
    Assists with the documentation of data fields and data sources for data dictionary or other needs.
    Works with Finance in pricing updates for chargeable supplies and Medicare reporting.

    Systems:
    Collaborates with IT to troubleshoot System issues
    Provide support to end-users of all supported systems.
    Proficient with the reporting tools of Compass HBI, Compass Contract Management, GHX, & EPIC.
    Recommends improvements and streamlining of current systems in relation to work environment.
    Participate in testing and validation of Supply Chain software system upgrades.
    Develop and maintain documentation for process, training, and technical instructions.
    Provide Business Project Management where needed (i.e.: GPO conversions, Implementing new technology, software upgrades etc.).

    Contribute to an effective and efficient Supply Chain Management organization by:
    Providing prompt, courteous response to inquiries, requests and appointments.
    Surveying and analyzing procedures and processes; preparing findings and reporting and recommending improvements to management.
    Exhibiting a willingness to handle a fair share of the departmental workload as identified by management; participate as required in back-up and fill-in plans.
    Participating in routine departmental operations in a timely and productive manner, i.e. management reports, contract maintenance.
    Leading, directing, training, educating and assisting in evaluating employees as required.
    Analyzes bids for procurement of products and services with complex features: recapping vendor responses when required in a clear, easy to understand fashion and audits responses according to established procedures.
    Actively participating in long-term planning.
    Develop professional skills that result in more efficient performance by keeping up with technological and market development in the Healthcare Supply Chain industry and the automation of it.
