    Position Description:

    Under the direction of the Assistant Dean for Student Life, the Director of Operations and Event Support Services will be responsible for the oversight of the D Angelo Center and other locations as assigned, including the daily operations and maintenance and will directly supervise and manage the administrative support staff within Operations, 3 graduate assistants, and approximately 70 student employees.

    S/he will be responsible for budget development and oversight of all Operations policies and procedures and the assessment of the quality of the services offered by all units within the Student Operations team by overseeing the coordination of major department and student events, training and developing a competent team of student employees, managing equipment necessary for putting on small to large-scale activities, and working closely with the Operations team to ensure quality training and development of student employees.

    This position requires non-traditional hours as well as some evening and weekends


    Specific Responsibilities:

    • Oversee the day-to-day operations of the D ‘Angelo Center and student programming areas

      • Manage the day-to-day operations of the 127,000 square foot, five-story D ‘Angelo Center, including student staffing; game room operations and rentals; Information Desk, maintenance/repair of building furniture and amenities (i.e., living room fireplace and piano); development and implementation of D ‘Angelo Center policies and procedures

      • Oversee event set-ups within the D ‘Angelo Center and for all campus student organizations to ensure customer satisfaction (i.e., accurate room set-ups based on approved requests)

      • Collaborate with other Student Affairs professionals to accurately convey updated policies/procedures pertaining to the use of the D 'Angelo Center and other programming areas

    • Oversee the Student Center and Operations Budget

      • Monitor an annual budget of approximately $400,000 to schedule approximately 70 undergraduate and graduate student staff members and student center managers within Operations; assign and monitor payroll and staffing of approximately 70 shifts/week with up to 9 students assigned to each shift

      • Manage and develop annual budget for Operations department; tracking, reporting, and reconciling all expenses, approving T&Es, performing budget analyses, etc.

    • Oversee all aspects of the Student Center and Operations staff

      • Ensure adequate coverage by Operations for all Student Affairs daytime, evening, and weekend events (i.e., provide staffing to track student attendance and monitor room capacities; account for all money collected at events; collaborate with Public Safety to ensure student/guest safety and compliance with all SJU policies and procedures)

      • Develop, implement, and evaluate year-round training sessions for Operations, which includes customer service, professionalism, & clarification of job responsibilities/expectations

      • Inspect the quality of the services provided by the Student Center Staff and Operations to continuously make recommendations for improvement and ensure that the staff is adhering to the mission and behaviors of Operations

    • Oversee the overall Space Reservation Process for the Division of Student Success and recognized student clubs

      • Support the Division of Student Success Space Reservationist

      • Manage, monitor and improve the new online reservation process

      • Collaborate with campus partners to improve overall reservation process

      • Enforce and communicate general reservation/event policies and procedures

      • Approve use of restricted venues for events held by department and student organizations

      • Chair the Calendaring Committee, oversee space utilization, and conduct annual space usage policy review process

    • Drive continuous process improvements as needed through the implementation of new equipment and development of new workflows

      • Proactively create automated workflows with and without no-code platforms for client communication, data processing, and operational coordination between various departments

      • Manage the transmission of data in Excel and Google Sheets to create event tracking reports and the development of a variety of workflows

      • Drive team members to develop frameworks and insights to address key process improvement, organizational change, and functional strategy development efforts

      • Oversee the collection and proper management of event attendance data for division and student club events in addition to maintaining all inventories and updates for tracking equipment

    • Supervise the administrative support staff in Operations, 3 graduate assistants and 70 student support staff members to support professional growth and development through weekly supervision meetings, verbal and written feedback, ongoing training and evaluation, and mid-cycle/end-cycle Partnership for Performance reviews and ensure that all targets are on track to be met

    • Work closely with Human Resources to clarify and convey all updated payroll guidelines and procedures to respective supervisors of approximately 170 student employees (i.e., accurate timecards, hiring protocol, termination procedures); supervise, train, and evaluate Operations student staff and managers to ensure compliance with all Human Resources policies and procedures; and ensure that student employees receive adequate training through collaboration with the Office of Human Resources Training and Development program to prepare them for their respective jobs

    • Oversee the operations of the Student Involvement Media Team, and overall digital marketing

      • Oversee the management of various social networks

      • Supervise Graduate Assistant that oversees Media Team

      • Hire, train, and develop student subject matter experts in videography, graphic design, photography, video production, hosting, social media platforms, etc.

      • Manage, facilitate and prioritize major media projects

      • Collaborate with Student Affairs Communications team to ensure execution of content strategy for Student Affairs social media

    • Assist the Campus Concierge by providing adequate staffing to disseminate marketing materials throughout campus and manage on-campus publication areas (bulletin boards, display cases)

    • Develop and maintain professional relationships across the University, specifically with Student Affairs, Facilities, Conference Services, Dining Services, Public Safety, and other University units to enhance the student environment and ensure quality service to students, employees, alumni, and the extended St. John's community

    • Assist and perform other responsibilities as needed

    The ideal candidate will be a strong leader, grounded in student development knowledge, student union operations, engagement, and experience with a creative-minded and detail-oriented approach. They will be able to build and sustain strong partnerships with campus partners and outside vendors to effectively engage first year, transfer, graduate, and international students and to expose them to the traditions and value of a St. John’s education.


    Work Environment:

    This position operates in a professional office environment and the incumbent is required to use standard office equipment such as personal computers, printers, etc. While performing the duties of this job, the employee is occasionally required to stand; move about; sit; to carry work; reach with hands and arms; climb stairs; communicate. The employee must occasionally lift or move up to 50 lbs.


    Position Type/Expected Hours of Work:

    This position is full-time, Monday through Friday, 8:30 a.m. to 4:30 p.m. and will require evening and weekend hours. Travel is primarily local and may include visits to the other NY campuses.


    Required Education and Experience:

    • Experience and/or background in student development, new student initiatives, student engagement and leadership development

    • Master's degree in higher education, college student personnel, business or counseling required

    • 3 to 5 years of professional experience

    • Supervisory experience, evidence of strong organizational skills, excellent written and verbal communication skills, computer literacy and/or knowledge of database/information systems extremely helpful and the ability to establish relationships and collaborate with faculty, staff, and relate effectively with students are strongly preferred.

    • Ability to view a variety of hardware and software platforms and understand how to best integrate them into daily operations

    • Strong problem-solving skills as well as client management and communication skills


    Preferred Education and Experience:

    • Experience with SQL, Python is a plus
