Job Description:

The successful candidate for this position will be able to provide a professional and courteous greeting to all callers to the University.

Responsibilities Include:

• Answer multi-line switchboard determining the reason for their call.
• Handling incoming calls to answer questions, refer caller to the appropriate department or individual or transfer caller to a different department/extension as necessary.
• Be aware of all on-campus events in order to respond directly and appropriately to caller queries.
• Maintain SHU entries in directories.
• Maintain web-based phone directory and make changes as required to keep up-to-date with moves, adds, and changes.
• Train work-studies and any other backup operators on console functions
• Manage schedules for all work-studies interested in switchboard operations.
• Maintain close relations with IT Billing Clerk so that the switchboard is never without a backup operator.
• Perform clerical tasks as needed, such as filing or data entry.
• Participation in the IT Spirit Committee
• Provide support for Special Events -IT
• Maintain confidentiality and tact in all dealings.
• Provide back-up support for administrative tasks as needed for VP of IT
• Provide back-up for management of IT office space, kitchen supplies, sorting mail, copier supplies, etc.

Requirements:

Knowledge and Skills Needed:

• Phone skills include effective communication, interpersonal skills and the ability to incorporate appropriate phone etiquette.
• High degree of familiarity with campus personnel and departmental functions.
• Ability to multi-task, prioritize, and track numerous calls simultaneously.
• Good verbal and written communications skills.
• Ability to send/receive e-mail for professional intra-departmental communications as well as external communications.
• Familiarity with Microsoft Office Suite (Word, Outlook, Excel)
• Good organizational skills
• Personable, friendly demeanor and a genuine desire to help people.
