The Office Manager is responsible for greeting visitors, answering phones, producing printed weekly worship and special services programs, and facilitating church communications. This individual provides administrative and clerical support to the pastor, staff, committee chairs, and parishioners, and is responsible for maintaining church records, events and hall rentals, and electronic media outlets. They must have strong organizational, problem solving, and planning skills and be able to work independently to accomplish the tasks of the position.
Job Responsibilities
· Answers and direct phone calls
· Receives, sorts, and distributes the mail
· Replies to email, telephone, or face to face inquiries
· Notifies the pastor as promptly as possible of hospitalizations, illnesses, deaths, or other crises involving parishioners
· Prepares the weekly church worship bulletin and worship bulletins for weddings, funerals, and other special services.
· Coordinates Summer Union Services with the First Woodstock Congregational Church pastor
· Serves as point of contact for scheduling worship leaders
· Maintains calendar and contracts for events/hall rentals
· Creates a Weekly Reminder and distributes through an email list
· Compiles the Trumpet (monthly newsletter) in both paper and digital form; uploads to the website
· Maintains the website (updates events, personnel information, calendar, etc.)
· Maintains/orders church supplies (office and general cleaning supplies)
· Coordinates with committee chairs, staff, and other church leaders for the Annual Report; compiles Annual report and prints copies for distribution
· Other Job-related tasks as assigned
Preferred Qualifications
· Minimum of three years of experience as an Administrative Assistant (or equivalent)
· Professionalism as demonstrated by communication skills, work ethic, attention to detail, flexibility, confidentiality, appearance, and accountability
· Strong, positive phone and interpersonal communication skills
