Top Administrative Executive leads operations and plans all aspects of an organization's staff and service functions. Contract: Hybrid Executive Assistant/Bookkeeper, 20-25 hours per month
(90% WFH/remote, but occasional in office catch up in Chicago)
Duties:
A. Assistance and general support of administrative duties of the business including filing for payroll and tallying commissions.
B. Keeping organized reports of Employee PTO and sick days
C. Keeping organized reports and tracking of trade accounts and client contracts, lengths, agreements
D. Tracking incoming payments, documenting payments, creating outgoing invoices, adding additional expenses, ensuring that clients have paid the business in a timely fashion.
E. Tracking extra reimbursements from employees, organizing corresponding receipts in a timely manner
F. Assisting with employee onboarding/paperwork and completing a checklist collection of all onboarding materials from future employees/interns/contractors
G. Assisting President of the Company with additional administrative tasks to keep the operation of the business running smoothly,
Skills:
- Strong organizational and time management skills
- Excellent attention to detail and accuracy
- Proficient and prior experience demonstrated using Quickbooks and MS Office Suite (especially Excel)
- Ability to prioritize tasks and meet deadlines
- Strong written and verbal communication skills
- Ability to work independently and as part of a team
This is an excellent opportunity for an organized and efficient Executive Assistant with prior bookkeeping experience who is looking for flexibility and remote work alongside an established boutique, women-owned business. Additional hours can be added if you're a fit. Please note that only candidates with relevant experience will be considered. Occasional, but from time to time a touch base meeting in person may be needed, so candidate must be in the Chicago area.
