We are looking for an Executive Assistant to support the manager of the Electrical Department, as well as the Electrical team, in our Fort Collins, CO office. The Executive Assistant will provide senior level planning, programmatic and administrative support for the daily operations of a division. Acts as a liaison between the division, and other division heads and/or department leadership to ensure effective integration and distribution of information. Investigates and resolves complaints and drafts correspondence and reports. This is an in-office position.
Key Duties and Responsibilities
Manage and maintain the Executive’s calendar and phone, including but not limited to, screening and directing phone calls, taking messages, and coordinating meetings
Arrange and schedule business-related travel arrangements, accommodations, and conferences
Track and provide statistical data for projects and departments as needed by the Executive
Maintain Executive’s correspondence, including but not limited to, opening, sorting, filing, and distributing email, faxes, and mail
Liaise with the Accounting Department for all expense reports for the Executive and departments
Assists with Employee relations including recruiting, new hires and annual employee appraisals/reviews
Provide administrative support to the project teams and departments
Plans and organizes events including trainings, teambuilding events, special celebrations, etc.
Analyze and draft memos, letters, and/or correspondence as directed by the Executive
Maintain all project related documentation and correspondence
Follow up on outstanding project related correspondence as directed by the Executive
Take on special projects as needed
Ensures supplies and materials are stocked in the office
Ensures office is kept as a professional work environment
Provides support for on-boarding and training new employees within the local office
Ability to handle confidential material appropriately
Education Requirements: Minimum Associates degree in business, communications, administrative office technology, or related field
Work Experience: 3-5 years related experience supporting an Executive, preferably for a A/E organization
Computer skills: Advanced skills with MS Office Suite, Deltek Ajera, Newforma; notary preferred
The employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl. The employee must frequently lift or move objects up to 10 pounds and occasionally lift or move objects up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
