Executive Administrative Assistant-Hickory Behavioral Network
Direct Report to CEO
Primary Purpose and Function:
Under the immediate supervision of the CEO, the Executive Administrative Assistant assists in maintaining the daily administrative operations of the facility. The Administrative Assistant serves visitors, maintains daily census, maintains system of financial record keeping, and manages all office supplies.
Minimum Qualifications:
High School diploma or equivalent, with at least 2 years’ experience working in an office setting.
Ability to follow directives explicitly, intrinsic motivation, client-driven services disposition, excellent time management skills, team approach, with advanced computer skills.
Payroll or time tracking experience preferred
Schedule flexibility, holiday, and weekend rotation is REQUIRED
Completion of CPR and CPI within first 30 days of employment
Must hold valid driver's license with reliable transportation
Primary Responsibilities:
Manages requests from the Executive team
Keeps the AP spreadsheet up to date & submits invoices and vendor information as needed
Assists with petty cash tracking and daily reconciliation
Maintains EE files and communications with corporate HR
New Hire Orientation and building introductions
Assist with payroll Time Tracking and Reporting Maintains legal compliance
Order office supplies for the facility and manage distribution throughout facility
Sorts and scans all mail to appropriate team or corporate members
Adheres to training and development standards set forth by Hickory, Joint Commission, and State Regulations
Upholds familiarity with State and Federal laws and regulations
Manages daily census and weekly/monthly balancing with nursing and admits
Works with patient and family to finalize facility coverage through insurance
Maintains a system of financial record keeping including issuing receipts
Receives deliveries and ensures they are routed to the correct department
Works with patient’s families to organize visits, etc.
