Position Description
Position Title: Student Services Executive Assistant
Department: Student Services
FLSA Status: Non-Exempt
Supervisor: Director of Student Services
Schedule: Monday-Friday 8:00AM-4:00PM
The Student Services Executive Assistant shall provide support services to the Director of Student Services, Services Coordinators, Occupational Therapists, School Psychologists, and other Student Services staff as necessary. May also handle a wide variety of tasks involving the general assistant and administrative functions of the ESU 6 Milford office when necessary.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Assists Director of Student Services, Service Coordinators, Occupational Therapists, School Psychologists and other Student Services staff as necessary.
- Performs general administrative assistant duties for department.
- Performs initial set up of incoming referrals for Early Childhood Services Coordination.
- Evaluates Student Services grant balances on a regular basis.
- Maintains Autism Library.
- Monitors use of special education equipment such as audiometers, tymponometers, and combos.
- Screens incoming calls and correspondence and responds independently when possible.
- Arranges meetings, workshops, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget.
- Prepares meeting spaces and subsequent minutes for department meetings.
- Makes reservations for conferences, flights, hotels, and other travel arrangements.
- Acts as custodian of department documents/records and maintains confidentiality.
- Monitors and purchases department supplies and materials.
- Monitors the use of student services vehicles and schedules maintenance.
- Answers Milford Office phones and greets guests as needed.
- Performs office opening and closing duties when other assistants are out of the office.
- Regular and reliable attendance on site at the Milford office is an essential function of this job.

Education and/or Experience
- High school diploma or general education degree (GED);
- or one to three months related experience and/or training;
- or equivalent combination of education and experience.
- Clerical experience preferred.
Physical Demands
While performing the duties of this Job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms and talk or hear. The employee is occasionally required to stand; walk and stoop, kneel, crouch, or crawl. The employee must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25 pounds and occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
