Summary of Functions:
The Asset Management & Service Coordinator is integral to the successful operation of Merit’s Asset Management program and Service department. This role requires customer interaction as well as cross functional collaboration. The Asset Management & Service Coordinator interacts daily with client data, inspection reports, and service work associated with the program.
Major Duties and Responsibilities: The Asset Management & Service Coordinator must be able to perform work duties as assigned and have a practical understanding of the following responsibilities and tasks:
- Prepares, reviews, enters, and updates information into database in a timely manner
- Verifies inspection information is complete and accurate
- Prepares complete inspection packets for customers
- Communicates with internal departments if information is incomplete
- Frequently prepares reports for review by manager
- Responsible for on-time preparation and delivery of basic inspection reports for smaller Asset Management customers
- Onboarding of new Asset Management clients
- Research and answer client questions
- Responsible for preparing and communicating proper materials for inspection to the Inspector
- Collaborate with the Inspector to collect any missing inspection information
- Inspection Repair Work Orders and Packets
- Inspection Work Orders and Inspection Packets
- Coordination of Service Work Orders and leak entry
- Cross trained in Service department billings, customer specific billing cycles, and invoicing
- Partners with Service department to ensure material inventories are accurately billed and physically managed
- Assists with management and control of open work orders
- Quality Control Spreadsheet Management and Project Update Communication
- Management of software programs used by the Asset Management department
- Works independently with direction from manager
- General office tasks including answering phones, scanning, filing, and organizing
- Other duties and projects as assigned
Organizational Relationships:
This position will report directly to the Vice President. There will be frequent interaction with the Inspector, Service Superintendent, Service Crews, as well as regular interaction with office personnel. A successful Asset Management & Service Coordinator is detail oriented, customer service focused, and consistent.
Experience and/or Educational Requirements:
- High school diploma required
- Experience in a construction-based industry, preferred
- Must be extremely organized and detail-oriented
- Ability to multi-task while continually ensuring accuracy
- Proficient in Microsoft Suite
- CAD/Bluebeam experience, a plus
- Ability to communicate effectively and professionally with all internal and external levels of the organization
- Ability to work on repetitive information accurately
- Ability to perform math functions
- Strong problem-solving skills
- Effective time management and prioritization skills
- Valid driver’s license

Must be able to work and perform what would be considered standard practices for this type of position in the industry.
