    Summary:

    Reporting to the Vice President for Alumni, Communications and Philanthropy, the Executive Assistant is a vital member of the Alumni, Communications and Philanthropy Division at Berea College and provides critical support in a fast-paced, lively, and collegial atmosphere. The Executive Assistant performs a wide range of complex and challenging administrative duties – adeptly and tactically managing organizing travel/meetings/events, synthesizing information from various constituencies, drafting and editing correspondence and other written materials and works closely with Trustees and significant donors to the College. While supporting the VP, the Assistant is also a central member of ACP.

    Primary Duties and Responsibilities:

    • Answers phones and welcomes all visitors and guests
    • Managing, monitoring and creating divisional budgets including the creation and oversight of divisional purchase requisitions and purchase orders
    • Provides overall administrative support to the Vice President including entering, proofreading, editing contact reports in the CRM as well as generating thank you letters and other materials for review and signature
    • Assists in review of documents and messages and corresponds as needed at the direction of the Vice President
    • Managing the Vice President’s calendar, including organizing meetings/conference calls and requesting necessary information to prepare for meetings, maintains calendar, assists in scheduling various events, both on-campus and off-campus, coordinating and preparing itineraries, and reserving facilitates
    • Serve as administrative support for Campaign management team
    • Responsible for the management and staffing for the Development Committee of the Berea College Board of Trustees
    • Coordinate all external meetings and travel for the Vice President
    • Performs, directs, and reports on special studies, research projects and assignments.
    • Secure necessary background materials for prospective/donor appointments
    • Organizing and maintaining current, pending, and daily meeting files as well as maintaining key general files (electronic and paper) for the division
    • Providing divisional level personnel support in collaboration with Human Resources for the on- boarding and off-boarding for the Alumni, Communications and Philanthropy division including the management of applications, interview schedules, travel arrangements and reimbursements
    • Manage the proper processing and accounting of expense reports and check requests for Vice President. Serves as proxy for p-card as needed
    • Manages regular meetings of the Vice President including recording minutes and identifying action items from meetings Serves as contact for Facilities Management, Information Systems Support, Technical Resource Center, etc. for a variety of building needs including cleaning, maintenance, repair, moving and remodeling and renovation
    • Coordinate and oversees the President’s philanthropic travel in collaboration with the President’s office and philanthropic staff
    • Provide training to new administrative employees of the Alumni, Communications and Philanthropy division
    • In support of Berea College’s great commitments, this position requires student supervision. The fourth great commitment is to promote learning and serving in community through the student labor program, honoring the dignity and utility of all work, mental and manual, and taking pride in work well done. The Supervision would include scheduling, assigning and approving work

    Education required to ensure success in this position:
    • Bachelor’s degree.

    Experience required to ensure success in this position:
    • Five years of experience working in a professional office setting providing confidential office management and administrative support for a senior-level administrator, preferably in higher education and complex non-profit organization.

    • Ability to work independently on multiple tasks, anticipate and adjust to changes in deadlines, scheduled or procedures required, strong organizational skills and capacity to set priorities.
    • Experience leading staff and overseeing complex budgets and thorough knowledge of MS Office Word, Excel, PowerPoint, etc. and extensive technology skills including data processing, Microsoft Office Programs, Banner and Argos, Box, CRM, Qualtrics.
    • Excellent customer service and analytical skills. Resolves issues, analyzes information, and makes recommendations.
    • Proven ability to maintain professional manner and discretion handling confidential information with integrity and discretion when dealing with colleagues, Trustees, donors, etc.
    • Stellar communication skills, written and verbal including superior interpersonal skills with the ability to work collegially and collaboratively in a team setting and the ability to interact effectively with and communicate with a wide variety of diverse individuals.
    • Builds and maintains positive working relationships within the Division and across the campus through open communication and collaboration.
    • Ability to work independently on multiple, complex administrative tasks and priorities.
    • Excellent typing, editing and proofreading skills, with attention to detail.

    License, certification, or registration necessary:
    • Valid Driver’s license
    • Required background check

    Physical requirements:
    • Ability to perform detailed computer work for extended periods of time
    • Ability to navigate campus/public buildings and grounds
    • Ability to travel independently by car and/or plane

    Environmental conditions:
    • Professional office environment with interruptions and noise due to frequent visitors, students, staff and faculty
    • Occasional travel required for meetings, conferences, etc.

    Ability to operate the following vehicles or equipment:
    • Standard office equipment (copiers, fax, multi-line phone system, etc.)
