Position Summary

What You’ll Do

• Ensure the CEO and other designated senior staff receive top-level administrative support and assistance.

• Fill out basic forms (such as letters, memos, invoices, and reports) and type and file them for upper-level management as part of your clerical and administrative duties.

• Operate office machines, including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment.

• Arrange travel and accommodations for executives.

• Manages calendars and schedules appointments.

• Schedule, coordinate, and prepare lunches for internal employees and the executive team.

• Schedule and attend meetings on behalf of executives, taking notes and recording minutes.

• Answer phones, direct calls to appropriate individuals, and prepare messages. Receive incoming communication or memos on behalf of senior management, review their contents, determine their importance, and summarize and/or distribute them to appropriate staff.

• Respond to and resolve administrative inquiries and questions.

• Perform office tasks, including maintaining records, ordering supplies, and performing basic bookkeeping.

• Coordinate daily and monthly social events, collaborating with Human Resources.

• Perform additional duties as assigned by executives.

What You Need

• High school diploma or equivalent required, Bachelor’s degree in Business Administration or related field preferred.
• At least two years of related experience is required.

• Excellent time management skills with a proven ability to meet deadlines.
• Ability to function well in a high-paced and at times stressful environment.
• Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
• Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.

Physical Requirements

• Must be able to lift and move 20lbs.
• Prolonged periods of sitting.
