What You’ll Do
Ensure the CEO and other designated senior staff receive top-level administrative support and assistance.
Fill out basic forms (such as letters, memos, invoices, and reports) and type and file them for upper-level management as part of your clerical and administrative duties.
Operate office machines, including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment.
Arrange travel and accommodations for executives.
Manages calendars and schedules appointments.
Schedule, coordinate, and prepare lunches for internal employees and the executive team.
Schedule and attend meetings on behalf of executives, taking notes and recording minutes.
Answer phones, direct calls to appropriate individuals, and prepare messages. Receive incoming communication or memos on behalf of senior management, review their contents, determine their importance, and summarize and/or distribute them to appropriate staff.
Respond to and resolve administrative inquiries and questions.
Perform office tasks, including maintaining records, ordering supplies, and performing basic bookkeeping.
Coordinate daily and monthly social events, collaborating with Human Resources.
Perform additional duties as assigned by executives.
