Position: Client Relationship Assistant
Department: Client Relations
Reports To: Client Relationship Manager
Position Purpose:
Receive and process incoming orders for shipping. Generally receives orders via warehouse management software or email. Duties include informing customers of receipt, prices, shipping dates, and delays; preparing orders for the warehouse team each day; and handling complaints.
Responsibilities:
- Verify customer and order information for correctness, checking it against previously obtained information as necessary.
- Receive and respond to customer complaints.
- Review orders for completeness according to reporting procedures and forward incomplete orders for further processing.
- Inform customers by mail or telephone of order information, such as unit prices, shipping dates, shipping quotes, and any anticipated delays.
- Recommend services and supplies that will meet customers' needs.
- Confer with production, shipping, warehouse, sales, or common carrier personnel to expedite or trace shipments.
- Communicate with carriers to file claims or to update company and customer information.
- Inspect outgoing work for compliance with customers' specifications.
- Check inventory records to determine availability of requested merchandise.
- File and record needed documentation and client requests.
- Notify departments and clients when supplies of specific items are low, or when orders would deplete available supplies.
- Recommend type of packing or labeling needed for new products and orders.
- Calculate and compile order-related statistics and prepare reports for management.
Nature and Scope:
- Train with Office Operations Manager.
- Learn Infoplus system.
- Learn basic warehouse operations.
- Conduct weekly or monthly meetings with all clients.
- Ensure that clients needs are met and maintaining positive working relationships with them.
Required Skills and Experience:
- Very well spoken.

- Strong communication skills including written communication skills.
- Self-motivated.
- 1 year of experience in customer relationship and order processing roles or similar experience.
- Proficient with Microsoft Office Suite or related software.
Environment:
- This position is primarily in a climate-controlled office.
- This position needs to be done in person at the office.
- Must be able to lift up to 15 pounds at times.
