    Detailed Job Description
    Major Responsibilities:
    • Lead and maintain the appropriate staff infrastructure within the ASSC team to provide exceptional support and service to auxiliary business unit stakeholders. Provide oversight of ASSC team members responsible for accounting services and financial reporting and analysis, including reviewing and approving the team's work product, as needed. Lead team meetings and other initiatives to identify, develop and share strategies to enhance operational effectiveness and internal controls.
    • Oversee financial reporting and budget planning for auxiliary business units including: a) coordinate, analyze and report financial metrics and key performance indicators (KPI), including Management Discussion & Analysis (MD&A) narratives providing variance details, projections, trends and comparative benchmarking information; b) design, develop and oversee the preparation of financial workbooks and dashboards to provide monthly departmental statements/management reports; c) prepare and review budget-to-actual, year-over-year comparisons, and year-end projections; d) complete ad hoc reporting and analysis as requested by the auxiliary business units leadership team, Controller's Office, Budget Office, Sr. VP of Finance and Administration, and/or other stakeholders; and, e) meet with the auxiliary business units directors and managers to interpret financial results, review relevant trends, and identify specific areas for further analysis.
    • Lead the development of strategic financial planning using advance technical tools to maximize use of the university's operating and capital resources. Prepare information for management on a wide range of financial and budget related activities including strategic planning, new business modeling, and oversee preparation of meaningful financial dashboards, metrics, KPIs, and benchmarking to support decision making. Analyze economic factors and industry trends to support auxiliary unit's goals and objectives and incorporate applicable key performance indicators and other metrics into trend analysis and reporting. Identify and track performance metrics and benchmark survey results from professional organizations (i.e. National Association for College & University Food Services (NACUFS), etc.) to assist leaders in developing business plans to support strategic and financial goals. Elevate relevant financial trends timely that would impact the University's budget goals and/or financial results to appropriate stakeholders, as needed.
    • Maintain strong internal controls over accounting and financial reporting to ensure compliance with university policies and procedures and Generally Accepted Accounting Principles (GAAP), including: a) regularly monitor cash, inventory, and fixed assets; act promptly to implement changes when excessive or repetitive over/shorts or shrinkage occurs; b) review and approve monthly balance sheet account reconciliations including accounts receivable, inventory, etc., as well as capital reserves and active capital projects; c) evaluate transactions, research and recommend proper accounting treatment and work with Accounting and Financial Reporting and auxiliary business units staff to implement appropriate processes and procedures to ensure correct processing; d) oversee procedures manual updates/revisions; and, e) provide input to auxiliary business unit teams in developing and maintaining standardized internal controls and best practices for accounting operations.
    • Lead the ASSC team's participation in transformational activities to upgrade existing and/or deploy new technology solutions in the auxiliary business units. Ensure new processes and procedures are established or modifications for existing ones are operationalized to ensure accounting transactions are recorded and financial reports can be produced timely and accurately. Work closely with other Controller's Office team members to ensure affected areas are aware of and properly respond to operational changes in the auxiliary business units. Work collaboratively with other stakeholders in and outside the Controller's Office to recommend and implement solutions to comply with University policies and procedures; streamline accounting and financial reporting processes, and deliver an exceptional customer experience to internal and external stakeholders.
    • Oversee the annual Management Self-Assessment (MSA) testing and certification process is complete and that appropriate internal controls are in place to prevent and detect errors and/or compliance issues and documentation required for department's processes and procedures are accurate and up-to-date. Discuss management recommendations with appropriate leaders, monitor adoption of recommended changes to strengthen internal controls and/or streamline processes; and elevate matters to Sr. leadership, as appropriate.
    • Prepare the annual Campus Club management fee reconciliation for lease agreement, recalculate the monthly standard monthly entries, and update the management agreement between RIT and Campus Club.
    • Prepare ad-hoc financial reports and analyses and participate in special projects as requested by management.
    • Participate in a minimum of 40 hours of training/professional develop annually (or a prorated amount based on standard working hours). Training must be applicable to the employee's role current within the Controller's Division with the intent of enhancing overall knowledge as well as the specific skills, whether functional or technical, required to perform successfully in the position.

    Supervisory Responsibilities: Provide direct supervision to six ASSC team members (Sr. Analyst, Analyst/Cost Accountant, Sr. Staff Accountants (2), Manager of Accounting & Financial Reporting - RIT Inn and Conference Center, Sr. Staff Accountant - Campus Store)

    Key Relationships: F&A Associate/Assistant Vice Presidents, Executive Directors, Directors and Managers, Controller's Office staff, Budget Office Directors, and Gunther & Associates management team.

    Reporting: The Executive Director of Accounting and Financial Services - Auxiliaries is a member of the Controller's Office, reporting to the Assistant Controller, Accounting and Financial Management Services; providing direct support to key stakeholders within auxiliary business units.

    Department/College Description
    The Controllers Office team is comprised of accounting and financial professionals who work together to provide accurate, timely and actionable information and services to our customers while acting as good stewards of the university's financial resources.

    Minimum Qualifications
    Education/Experience:
    • BS in accounting or related field
    • At least 10 years of related experience required; an equivalent combination of education and experience will be considered.
    Skills:
    • Strong PC and MS Excel skills and familiarity with Oracle, or another enterprise-wide financial application.
    • Comprehensive knowledge of Generally Accepted Accounting Principles (GAAP),
    • Demonstrated experience with the procure-to-pay process, development of internal controls including segregation of duties, cash handling, accounts receivable and inventory management, required.
    • Prior supervisory and office management experience
    • Experience working in a large, complex university auxiliary enterprise operation including Dining Services and/or Housing Operations, preferred. In lieu of auxiliary enterprise experience, consideration will be given to candidates with a strong retail management background.
    • Must possess excellent communication skills, both written and oral, and be able to interact with both external customers and internal team members with professionalism; understand the various risks the organization faces and introduce practical and effective ways to deal with them.
    • Strong analytical skills, attention to detail and time management skills required.
    • Proven ability to work independently with minimal supervision and exercise professional judgment in carrying-out assigned responsibilities required.
