Position Overview: We are seeking a dynamic and highly organized Executive Assistant to support our team in various administrative tasks. The ideal candidate will be proactive, detail-oriented, and capable of multitasking in a fast-paced environment.

Key Responsibilities:

• Customer Communication:
• Respond promptly to customer inquiries via email, phone, and other communication channels.
• Pass on relevant resources and information to customers to ensure their needs are met efficiently.
• Resource Management:
• Organize resources including labels, graphics, and shipping documents to ensure smooth operations.
• Coordinate with relevant departments to maintain adequate stock levels of supplies and materials.
• Work with vendors to place orders, track deliveries, and manage inventory effectively.
• Supply Chain Management:
• Collaborate with the production team to project supply needs and ensure timely procurement of raw materials.
• Monitor inventory levels and assist in optimizing supply chain processes for efficiency.
• Administrative Support:
• Download, compile, and analyze sales reports to provide insights to the management team.
• Schedule shipments, coordinate logistics, and ensure on-time delivery of orders.
• Assist in running payroll processes accurately and in a timely manner.
• Appointment Scheduling:
• Manage calendars and schedule appointments for team members as required.
• Order Coordination:
• Coordinate incoming orders, process order requests, and ensure timely fulfillment.
• Documentation and Process Management:
• Document and maintain standard operating procedures (SOPs) for various administrative tasks.
• Manage tasks and projects to ensure deadlines are met and goals are achieved.

Qualifications:

• Proven experience as an executive assistant or in a similar administrative role.
• Excellent communication skills, both written and verbal.
• Strong organizational and multitasking abilities.
• Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
• Ability to work independently with minimal supervision.
• Attention to detail and a proactive approach to problem-solving.
• Knowledge of skincare industry practices and terminology is a plus.

Job Type: Full-time

Pay: $40,963.00 - $60,171.00 per year
