Nation's Home Medical Equipment, a subsidiary of Lifebridge Health Partners, is seeking an experienced full-time Executive Assistant to support the VP of HME and ensure smooth office operations. This is an on-site role at our office in Owings Mills, MD and we're looking for a candidate who can hit the ground running.
Responsibilities:
- Manage multiple calendars (VP's and shared groups), schedule meetings, and coordinate appointments using Outlook
- Prepare and edit correspondence, reports, spreadsheets, and presentations
- Conduct research and gather information for various projects
- Assist with project coordination and follow-up on action items
- Perform data entry and maintain accurate records, including payroll/timekeeping records for direct reports of the VP
- Handle clerical tasks such as filing, transcribing, and proofreading documents
- Maintain the office phone system, including set ups, changing data, pulling reports, and working with our phone carrier to troubleshoot as necessary
- Customer Service duties: occasionally answer phones or greet guests upon office entry and ensure they are directed to the appropriate people/departments.
- Assist with general office administrative tasks and other projects as necessary
Requirements:
- Computer literacy: advanced Office 365 skills, especially Excel, Teams, and Outlook
- Customer service: Ability to provide exceptional customer service to internal and external stakeholders
- Project coordination: Strong organizational skills to manage multiple projects simultaneously and meet deadlines
- Data entry: Accurate and efficient data entry skills to maintain records and databases
- Clerical: Knowledge of general office procedures and ability to perform clerical tasks effectively
- Transcribe: Ability to electronically transcribe meeting minutes or other audio recordings accurately
- Attention to detail: ability to proofread/edit documents and produce documents/correspondence that are free of errors
General: basic knowledge of office equipment operation (postage machine, shred bins, etc.) and office management tasks (receiving and routing mail/deliveries, calling in maintenance repairs, ordering office supplies, coordinating team meals/events, etc.)
