Top Facilities Management Executive leads overall operations and develops the strategy and policies to deliver design, planning, implementation, construction, and maintenance of an organization's facilities and properties. Plans and allocates the capital, equipment, and operating budget to support current operations and long-term facility plans. Being a Top Facilities Management Executive ensures the reliability of all building mechanical, electrical, fire/life safety, plumbing, and waste management systems. Reviews and negotiates contract terms and conditions for contractors selected for facility projects and the delivery of services. Additionally, Top Facilities Management Executive establishes building operations policies, procedures, and service standards to comply with all local laws and regulations. May be responsible for additional facility-related functions like food services, security, safety, environmental, or administrative services. Requires a bachelor's degree. Typically reports to top management. The Top Facilities Management Executive manages a departmental function within a broader corporate function. Develops major goals to support broad functional objectives. Approves policies developed within various sub-functions and departments.     Position Overview

    The Executive Assistant is responsible for supporting the CEO as a professional and personal assistant. This position will assist the CEO by managing his calendar, communications, travel, organization, mail, and personal assistance including errands.


    Job Duties

    • Provide professional support to the CEO.
      • Time and calendar management, email management, travel, and communications.
      • Additionally support the CEO by handling personal errands and projects.
    • Support the office by managing mail, small event coordination, and light housekeeping.
    • Provide reception for clients both in person and by phone.
    • Handle all office coordination including supplies, communications with building management, events and daily light housekeeping.
    • Provide administrative support to the Director of HR as needed.


    Job Qualifications

    • BA/BS degree or equivalent experience
    • 2 years experience as an executive assistant to C-Suite executive in a professional environment.
    • Excellent communication skills both written and verbal and the ability to represent the CEO professionally. The ability to communicate information and ideas clearly and concisely, with excellent grammar and business writing skills.
    • Strong attention to detail with the ability to quality control work performed.
    • Excellent organizational and time management skills.
    • Able to manage projects and meet deadlines.
    • Able to prioritize and multi-task successfully in a fast-paced environment.
    • Flexible with the ability to adjust to changing priorities and quickly transition.
    • Able to work independently and as part of a team.
    • Proactive approach to problem-solving.
    • Intermediate to advanced working knowledge of Outlook, Word, Excel, and PowerPoint.
    • Valid driver's license, reliable transportation, and auto insurance for running errands.
