Facilities Manager

The purpose of this role will be to be part of an innovative and driven onsite team working to preserve the assets of a prestigious large-scale community in Leland, NC.
Job Duties:
The Facilities Manager is a full-time role and will be a self-motivated, creative, energetic, and a dependable individual who brings property management and maintenance experience and expertise to the position. They will be responsible for maintaining the community's preferred vendor list and providing assistance to the Community Manager in the areas of Request for Proposal development, vendor selection, vendor management and general oversight of community assets.
Responsibilities:
Work Order Management
- Assist with creating and maintaining community responsibility matrix
- Monitor and manage incoming work orders through the utilization of company software
- Review and determine vendor assignment
- Communicate necessary updates to Homeowners on active Work Orders
Community Preservation/Asset Management
- Regular review of all community facilities to identify required repairs and preventative maintenance
- Management of Short-Term & Long-Term Preventative Maintenance Schedules
- Complete Preventative Maintenance Inspections of all community amenities and work alongside Onsite Community Manager in developing and implementing community specific maintenance repair schedules
- Complete daily inspection of facilities to ensure cleanliness and general overall condition
- Assist with oversight of common area projects completed by third-party vendors
- Provide regular updates on all community projects in online project management system
- Maintain maintenance office in a clean and organized manner
- Assist Onsite Community Manager in the planning, coordination and oversight of Capital Projects and Insurance Claims.
- Complete necessary loss reports, including photographing and documenting any damage to Association assets, for insurance purposes
- Facilitate repairs to all equipment (including power tools & equipment)
- Closely monitor, identify and work to resolve general maintenance issues identified throughout the community by performing and overseeing the tasks required to maintain the community's common space and amenities in a safe, professional, and courteous manner. Some tasks may require minor repairs and/or light handyman work to be completed by employee.
Vendor Management/Contract Management
- Assist with development of community Request for Proposals (RFP) and project work scopes
- Identify and vet potential community vendors through reference review and service verification
- Assist with contract negotiations for services required within association
- Track community vendor performance and provide recommendations to Community Manager
- Facilitate vendor compliance with required certificates of insurance and W-9 forms
- Maintenance Inspections
- Position may need to be available for community event setup
- Be available to assist with afterhours emergency items
- Report directly to Onsite Community Manager
- Other job duties as assigned
Education and Experience:
- 2-3 years’ experience in building and grounds maintenance.
- General working knowledge of skilled trades areas such as light electrical, plumbing, carpentry, etc.
- General knowledge of building codes and laws applicable to the community (such as electrical, plumbing, etc.)
- Strong time management skills with the ability to multitask and prioritize tasks and activities to meet deadlines.
- Strong ability to handle challenges independently and effectively, including anticipating, preventing, identifying,
and solving problems as necessary.
- Position may require working on-call hours, as necessary.
- Must be able to work independently and in a team dynamic.
- Must be able to lift up-to 30 pounds and frequently stand, walk, kneel, crouch, or crawl.
- Must be able to work with tools and equipment in outdoor weather conditions.
Requirements:
- Must have a valid NC Driver's license, and reliable transportation
