    POSITION PURPOSE

    This position will manage the team of Senior Investment Analyst and Senior Accountant in all assignments, including University's contribution (gift) revenue and pledge receivable reconciliations and analysis; monthly investment Journal entries; review of capital calls; appropriate recording and analysis of investments and charitable remainder trusts and annuities; University's endowment reporting and unitization of endowment pool and preparation of investment footnotes for the financial statements. The position is also responsible for coordinating university tax reporting and other tax matters as well as assist the Assistant Controller and Controller in preparation of the University financials as well as act as a Finance Representative to various University departments and train other Finance Representatives.

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    1.Manage the Investment Accounting Process and the Senior Investment Analyst
    Train and manage the Senior Investment Analyst in all tasks, including the monthly investment account reconciliations and journal entries to record investment activity.
    Act as a liaison between the auditors and the Investment Office.
    Prepare or delegate preparation of information requested by the University's external auditors, including the investment lead sheets and financial statement footnotes.
    Prepare Investment Rollforward analysis, to be used in the cash flow statement.
    Review capital calls initiated by the Senior Investment Analyst and verify that all capital calls are initiated and approved timely.

    2. Manage Gift Accounting Process and Senior Accountant
    Train and manage Senior Accountant in University's gift revenue cycle and reconciliations for pledge receivables and reserve accounts.
    Oversee Charitable remainder annuity and trust administration and accounting.
    Ensure stock gifts are appropriately recorded and reconciled.
    Train, manage and delegate the tasks associated with preparation of schedules for annual financial audit and annual Income Tax Return.
    Respond to queries and provide guidance to Senior Accountant especially while providing financial support and analysis to the Law School, Property Management, University Relations and other departments as assigned.

    3.Coordinate University Income Tax Return Preparation
    Compile and analyze data to facilitate the annual Income Tax Return (Form 990 and 990-T) filing.
    Coordinate with the external tax preparer firm, to prepare the tax return.
    Work with University departments, such as Development and Conference Services, to obtain information needed for the tax return.
    Identify University activities that represent unrelated business income tax (UBIT), prepare schedules for the tax return and financial statement audit.
    Gather and analyze K-1's for the University's investments.
    Prepare and distribute the annual tax questionnaire sent to University officers, directors, trustees and other key employees. Compile results and incorporate in the tax return.
    Evaluate University policies for not-for-profit tax matters, such as tax-exempt bond compliance, executive compensation, and UBIT, coordinating across departments to suggest and implement necessary changes. Expand and publish documentation of procedures.
    Prepare supporting schedules and respond to questions to assist tax preparer firm with the preparation of state tax returns.

    4.Other Taxation Responsibilities
    Respond to tax-related questions from academic and administrative departments.
    Develop and monitor policies, procedures, and processes that comply with tax regulations, including sales and use tax, taxable fringe benefits, and imputed income.
    Manage process for monitoring private use on the University's tax exempt bond projects. Prepare analysis as required for reporting on IRS 990 Schedule K.
    Research and remain informed about new University initiatives and changing laws that impact not for-profit organizations and the higher education sector, and be proactive in the development of the related University policies and procedures incorporating the changes in the laws.
    Coordinate with the Provost Office to calculate imputed income on employee note receivable forgiveness and other compensation items, and communicate to the Payroll department.
    Monitor for potential imputed income inherent in University housing leased to faculty or staff.
    Prepare annual return for Foreign Bank Account reporting (FBAR) for the University and account signers.
    Supervise preparation of sales and use tax returns and 540NR forms. File the returns for Santa Clara and Alameda County.

    5.Endowment Accounting and Reporting
    Use Fundriver endowment management software to unitize endowment pool on quarterly basis. Add new gifts to the Fundriver system on a quarterly basis, and perform quasi endowment transfers.
    Calculate yearly income allocation in Fundriver and verify accuracy and consistency with the spending formula.
    Coordinate with the University Budget Office to ensure endowment income is transferred to the correct operating funds or reinvested, as appropriate.
    Coordinate yearly endowment donor reporting with Development office.
    Utilize functionality of Fundriver to create custom reports to be used by Management in decision making.
    Administer the Fundriver system, manage access and security, and train departmental users to obtain necessary information.
    Perform modelling of endowment income, as needed to facilitate decision making.
    With the help of Senior Accountant, prepare and reconcile endowment roll forward.

    6.Chief Finance Representative
    Act as a resource to other Finance Representatives by answering questions and providing training.
    Develop training curriculum that results in consistent training across campus.
    Develop and publish a comprehensive FAQ document to answer department questions.
    Assist in maintenance of financial forms and reference documents on the University Finance Office website.
    Analyze data in order to provide meaningful information to managers to support business decision making.
    Act as a financial liaison between the department business managers and the University Finance office (UFO).
    Monitor fund balances and department budgets to rectify any fund deficits and/or budget overages.
    Process Financial Transaction Adjustment Request (FTAR) journal entries for departments, ensuring University procedures and fund structure rules are followed.
    Provide Workday Financials training to new business managers within supported departments.

    7.Assist in preparation of University financials
    Perform Allocation of University plant, facility, interest and other expenses to programs
    Analyze restricted funds activity to prepare net asset roll forwards
    Assist with preparation of year end financials, workpapers, and related audit schedules

    8. Other Duties
    Prepare statistical/financial management reports, year-end account audit schedules and tax schedules as needed.
    Work with others to ensure related processes flow effectively and efficiently.
    Utilizing available technology, review policies and procedures and propose changes to improve effectiveness in executing responsibilities.
    Continue to develop expertise with available technology
    Student Staff supervision as needed
    Other tasks as assigned

    RECEIVES WORK DIRECTION FROM

    Receives work direction from Assistant Controller, University Controller, Associate Vice President for Finance and other colleagues as appropriate.

    Prepares progress reports; informs supervisor of project status; and deviation from goals. Ensures completeness, accuracy and timeliness of all operational functions.
    Prepares and submits reports as requested and required.
    Develops and implements guidelines to support the functions of the unit.

    QUALIFICATIONS

    Experience in fund accounting, financial aid fund management, knowledge of federal programs and regulations preferred.
    Experience coordinating banking relationships including merchant services preferred.
    Experience with major administration systems such as Workday, Oracle or SAP desired. Preferably possess advanced knowledge of data query and reporting tools (nVision).
    Excellent advanced computer skills (Excel, MS Word, etc.)
    Ability to interpret and apply complex rules and regulations relating to student loan programs and student receivables.
    Possess a high degree of initiative, attention to detail and follow through, as well as ability to adjust to changing requirements and priorities.

    EDUCATION AND/OR EXPERIENCE
    Bachelor's degree in Accounting and/or Finance or CPA required; Advanced degree preferred.
    At least 8 years of relevant experience in a Finance or Treasury environment required.
