Top Foundation Executive develops and leads the vision, strategic planning, financial management, fundraising, and grantmaking operations that support the overall objectives of a foundation. Sets the overall goals for fundraising campaigns and program initiatives. Maintains positive relationships with foundation stakeholders, including the board of directors, grantees, community leaders, donors, and prospective donors.     LOCATION:  Lakeshore Technical College – Cleveland, Wisconsin

    POSITION SUMMARY: Manage all daily/monthly/annual operations that keep the Lakeshore Technical College (Lakeshore) Foundation in compliance with its incorporation as a non-profit institution in support of its mission to serve students and the College.  This includes daily gift and pledge entry and expenditure reports from the Foundation CRM; preparing and managing all banking transactions on behalf of the Foundation; managing all required accounting processes for regular income and expense reporting processes; managing all Lakeshore Foundation business documentation as it pertains to annual audits; administration of scholarships and scholarship application cycles; and managing the Lakeshore Foundation Board of Directors correspondence - all under the supervision of the ED. Develop and maintain strong working relationships with staff and board members. Perform tasks independently and maintain confidentiality. Provide an exceptional customer service experience to both internal and external stakeholders throughout every interaction. Ensures all documents and communication are representative of the Foundation and College brand.     ESSENTIAL JOB FUNCTIONS (Other duties may be assigned):

    (40%) Accounting for the Lakeshore Foundation

    • Manage gift and donor entry in the Lakeshore Foundation CRM system (Blackbaud, Anthology)
    • Process checks: deposit into Lakeshore Foundation checking accounts as directed by the ED of the Foundation.
    • Assist in funds transfers between bank accounts and investment accounts as directed by the ED of the Foundation.
    • Process invoices: Prepare and process expense reimbursements and/or check requests under the supervision of the ED of the Foundation and in coordination with Finance Offices.
    • Post monthly account journal entries.
    • Prepare monthly financial statements.
    • Reconcile account balances.
    • Resolve issues through proactive problem-solving and provide appropriate, accurate information in a timely matter.

    (30%) Support for the Lakeshore Foundation Executive Director and Board of Directors

    • Schedule and oversee venues for quarterly Lakeshore Board meetings.
    • Serve as the record holder of all Lakeshore Foundation operations (including banking information, investment account information, check requests, gift receipts, pledge commitments, audited financial reports, IRS990 reports etc.).
    • Serve as the record holder for Lakeshore Foundation foundational documents including articles of incorporation and organizational agreements.
    • Maintain Lakeshore Foundation CRM/Database.
    • Communicate with internal stakeholders to monitor operational procedures and effectiveness.

    (20%) Scholarship Application Administration

    • Enter and configure all new scholarships and scholarship cycles.
    • Facilitate the scholarship application review and awarding process including setting up the review process, tier 2 scholarships, awarding, and communicating to all applicants.
    • Coordination and communication with other college departments including financial aid, student success, and instruction under the direction of the Executive Director.

    (10%) Administrative Support

    • Maintain the Lakeshore Foundation operations folder including gift acceptance policy, contracts, and binding agreements.
    • Manage Institutional Advancement and Foundation policies and procedures within related software.
    • Assist in providing information to the Foundation Board as directed by the ED of the Foundation, including orientation for new Board Directors.
    • Schedule, Attend, and provide minutes of all Lakeshore Foundation Board meetings.
    • Gather and compile information to complete reports to the ED and VP of Institutional Advancement.
    • Maintain Foundation donor records, and office forms, draft correspondence, and create presentations.
    • Participate in college committees and events.

    SUPERVISORY RESPONSIBILITIES:  None

    EDUCATION AND EXPERIENCE:

    • Bachelor’s degree or equivalent in a related discipline required.
    • Two to three years of recent related occupational experience is required.
    • Accounting experience is required.
    • Work in a non-profit organization is preferred.
    • Project management and organizational skills are required.

    CERTIFICATIONS, LICENSURE, REGISTRATION:

    TECHNOLOGY SKILLS:

    • Ability to master software such as Microsoft Office (Word, PowerPoint, Excel, Outlook), Blackbaud Raiser’s Edge and Financial Edge, Award Spring, and Anthology CRM
    • Be familiar with basic hardware; use and maintain voice mail; use file manager; use network file manager; use and maintain a personal calendar; navigate through Windows; access college network system; understand database concepts; send and receive attachments; access a bulletin board; navigate through the Internet; schedule meetings; use email to communicate.
    • Use and maintain listservs. subscribe and unsubscribe to external listservs; set‑up and use a laptop and printer; manage the Foundation’s client record management system and develop/use queries from that system; use video conferencing; use database queries; use scanning techniques equipment; create simple charts and graphs.

    OTHER KNOWLEDGE, SKILLS, AND ABILITIES:

    • Knowledge and experience with nonprofit management is essential.
    • Must possess planning skills, problem-solving and time management skills, and analytical skills and abilities.
    • Must perform tasks without direct supervision, assume responsibility, and maintain positivity and confidentiality.
    • Organizational skills, initiative, professional judgment, and decision-making.
    • Excellent command of the English language, both written and oral.
    • Ability to interact with all levels of internal and external stakeholders in a team environment.
