Top Foundation Executive develops and leads the vision, strategic planning, financial management, fundraising, and grantmaking operations that support the overall objectives of a foundation. Sets the overall goals for fundraising campaigns and program initiatives. Maintains positive relationships with foundation stakeholders, including the board of directors, grantees, community leaders, donors, and prospective donors.     REPRESENTATIVE DUTIES
    The Foundation Development Associate provides administrative and project management assistance to the Executive Director of the Foundation, and acts on their behalf as assigned, or in their absence.   The following duties are typical of those performed by employees in the classification, however, employees may perform other related duties not listed and not all duties listed are necessarily performed by each employee.
    • Organizing and directing the clerical work in the office of the Executive Director of the Foundation.
    • Collecting and organizing materials for bimonthly Director Meetings of the Board of Directors independently or as instructed.
    • Serving as executive secretary to the Board of Directors, attending all meetings and assuming responsibility for the orderly dissemination of materials and the record keeping of all proceedings. Responsible for compliance and adherence to the Brown Act as it relates to public meetings.
    • Serving as liaison with Board members to provide assistance on Board related materials.
    • Serving with liaison with District administrators and staff on subject matters that may include privileged and highly sensitive material. 
    • Manage Foundation board meetings, minutes, and communications
    • Provide general, flexible and inclusive confidential administrative support.
    • Prepare drafts and compose professional correspondence, invitations, letters, press releases.
    • Screen and prioritize mail and optionally direct mail to other members on campus or independently provide response, as appropriate.
    • Knowledgeable of TC Foundation policies and procedures, including use of the confidential development database software.
    • Facilitate the ordering and mailing of materials and services as assigned within all aspects of the Foundation.
    • Plan, manage, execute and support small to larger cultivation and stewardship events throughout the year. Event related duties may require occasional evening/overtime work.
    • Create and maintain confidential reports/backup files of incoming and outgoing financials, including event profit and loss.
    • Conduct prospect research, maintain confidential records on alumni and donors’ activities and interest, and assist in analyzing such data. Participates as a member of the advancement team, providing input on donor and strategies when appropriate.
    • Monitor budget status and expenditures of the Foundation. Development budgets estimates and/or projections as requested. Work closely with Executive Director of the Foundation and Business Office, regarding transfers and expenses.
    • Reconcile monthly credit reports for the Executive Director, as needed. Manage travel arrangements, expense reimbursements, document routing, etc. Ensure that payment is disbursed correctly.
    • Assist in the general operations of social media, campaign, and utilizing all aspects of fundraising.
    • Create marketing material for advancement, events, etc. to prepare for distribution through social media, campaigning platforms, and mailings
    ABILITY TO

    • Interpret and apply State law (Brown Act) and College and Departmental policies, rules and regulations

    • Reason logically drawing valid conclusions and make appropriate procedural recommendations
    • Compile information and compose acceptable business correspondence and reports independently
    • Meet schedules and timelines
    • Work independently with discretion
    • Perform advanced-level functions with district standard software including complex formatting of documents, etc
    • Understand and follow oral and written directions
    • Perform mathematical calculations quickly and accurately
    MINIMUM QUALIFICATIONS
    • Bachelor’s Degree or equivalent and five (5) years of increasingly responsible professional experience; OR
    • An Associate Degree or equivalent and seven (7) years of increasingly responsible professional experience; AND
    • Two years of administrative clerical, customer service, project management experience; OR
    • Two years of experience in fundraising, development, or donor relations AND.
    • Proficiency using PC/Mac computers. Demonstrated strong computer skills, including proficiency with desktop publishing and Microsoft Word, Excel, Access, and PowerPoint for correspondence, special reports, spreadsheets, databases, forms, etc;
    • Demonstrated sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability and ethnic backgrounds of community college students;
    • Successful candidate must pass a Department of Justice (DOJ) fingerprint background check and provide proof of freedom from Tuberculosis (TB) via a chest x-ray or a TB skin test.
     
    Desirable Qualifications
    • Prior experience in a non-profit fundraising.
    • Digital Media experience, may include, AI, IN, PS, photography, videography
    • Experience supporting fundraising activities and campaigns;
    • Prior experience managing donor relations;
    • Prior experience with event planning and execution
    • Experience working with executive management
    • Experience working in higher education, preferably at the community college level
    • Experience working with Banner database software
    PHYSICAL REQUIREMENTS:
    • Ability to stand and circulate for extended periods of time
    • Ability to work at desk, conference table or in meetings of various configurations
    • Ability to see for purposes of reading laws, codes, rules, policies, other printed materials and observing students
    • Ability to hear and understand speech at normal levels
    • Ability to communicate so that others are able to clearly understand a normal conversation
    • Ability to reach in all directions
    • Ability to lift and carry 25 Ibs

    PAY RANGE 
    This position is Grade 6 on the Confidential Salary Schedule, with a range of $63,412-72,708 annually.  This is a 12 month, full-time position and is eligible for participation in the District's benefit plans.
