Top Foundation Executive develops and leads the vision, strategic planning, financial management, fundraising, and grantmaking operations that support the overall objectives of a foundation. Sets the overall goals for fundraising campaigns and program initiatives. Being a Top Foundation Executive represents the foundation to the public and media to communicate its mission, values, and accomplishments. Maintains positive relationships with foundation stakeholders, including the board of directors, grantees, community leaders, donors, and prospective donors. Additionally, Top Foundation Executive oversees the budget, distribution of foundation funds, and investment strategies to ensure the financial sustainability required to fulfill the foundation's mission. Ensures all foundation activities comply with applicable laws, reporting requirements, and regulations. Requires a bachelor's degree. Typically reports to board of directors or trustees. Approves policies developed within various sub-functions and departments. To be a Top Foundation Executive typically requires 8+ years of managerial experience. Our mission is to create a sustainable system of support to meet the unique needs of Black communities in Connecticut. The organization is designed as a permanent endowment vehicle providing opportunities for Connecticut’s Black communities to access capital to meet their unique needs. TPF also enables community members to engage in philanthropy by creating their own funds on the TPF platform. Through coordinated, focused efforts, TPF believes that philanthropy funded and managed by Black people is a viable and sustainable means of addressing critical social and economic gaps in Black communities.

    TPF seeks a high-functioning Executive Assistant to provide administrative support to the Executive Director. Daily responsibilities will include conducting research, preparing reports, data entry, and handling information requests, as well as other high-level administrative tasks the Executive Director assigns. Additional duties include preparing correspondence, scheduling meetings, and taking notes at meetings. The ideal candidate will be someone able to work independently without much supervision, be able to manage a large, diverse workload, and know how to prioritize tasks in a fast-paced environment. The essential functions of the position include, but are not limited to, the following:

    Scheduling

    • Manage and maintain the Executive Director’s calendar, including scheduling all appointments, conference calls, video meetings, and speaking engagements;
    • Coordinating internal and external meetings;
    • Organizing and communicating all schedule details and logistics.
    • Assisting with the yearly calendar and scheduling nonprofit training workshops as well as Foundation events throughout the year.
    • Sending email reminders for all meetings including Board committee meetings.
    • Assisting with the preparation of monthly TPF Tuesday calls with grantees.

    General Support

    • Provide logistical support to the Executive Director and organizational leadership team regarding meeting preparation, including organizing and circulating key background information and/or supporting documentation in preparation for appointments.
    • Support and staff in-person meetings, including preparing rooms, managing catering, coordinating with IT for equipment setup, and serving as a first point-of-contact.
    • Prepare, create and collect documents for monthly Board meetings including drafting the Executive Director’s monthly report.
    • Facilitate document signature queues and ensure timely document completion and filing needs.
    • Respond to requests from grantees and prospective grantees, including scheduling interviews for job applicants, training, and special events.
    • Coordinate with the Marketing/Branding to support press requests and interviews.
    • Assist with projects and assignments of the Executive Office, as needed.

    Executive Assistant Requirements and Qualifications

    • This hybrid position requires 2 days in the New Haven based office.
    • Bachelor’s Degree preferred
    • The ideal candidate has several years of proven experience in a similar role.
    • Is comfortable managing multiple tasks within an organization.
    • Excellent written and oral communication skills.
    • Keen attention to detail, including strong attention to accuracy.
    • Ability to take initiative, function independently, and anticipate needs.
    • Ability to exercise sound judgment and maintain confidentiality.
    • Ability to prioritize and complete multiple, complex tasks skillfully and timely.
    • Proficiency with Google Workplace (e.g., Gmail, Google Calendar, Google Drive),and Microsoft Office Suite (e.g., Microsoft Word, Excel, Outlook, and PowerPoint). Familiarity with Boardable, Wizehive, Donorview and website \ management a plus.
