The Executive Assistant performs a wide variety of responsible, complex and confidential administrative and secretarial duties for the CNO. This position is also responsible for providing additional help to the Administrative Team when requested. The assistant performs duties that require considerable confidentiality, initiative, tact, mature and independent judgment; requires excellent communication and strong interpersonal and organizational skills; ability to provide information and service to a wide range of internal and external contacts. Requires knowledge of corporate, hospital and departmental policies and procedures; requires knowledge of CMS CoP, Title 22 and other regulatory requirements. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the CNEO. The Executive Assistant serves as a liaison to Nursing leadership. Establishes priorities in all work and assures that assigned tasks are completed in a timely and accurate manner while following Mercy Medical Center's Standards of Performance. The Executive Assistant needs to be able to handle confidential information with discretion, be adaptable to various competing demands and demonstrate the highest level of customer/patient service and response. This position is classified as confidential and the incumbent must be flexible with schedule. Other duties may be assigned as needed.

• Act as liaison between CNEO and management personnel, Dignity Health corporate office, board members, medical staff, prominent community leaders, visitors, clergy and hospital personnel.
• Coordinate functions such as board retreats, social events which would include catering, reserving location, assist putting together binder information for meetings, preparing other items for event, and communicating to attendees ensuring accommodations, etc.
• Receive and screen telephone calls; answer routine and specific questions, take accurate messages and keep President informed of identity and nature of calls handled during absence.
• Handle CNEO's incoming mail according to content and takes action accordingly.
• Take initiative in preparing response to correspondence, alleviating the CNEO of the task of preparing a response personally when appropriate.
• Assist with requests for use of classrooms and prepare weekly calendar of meetings/events on campus.
• Provide as back up for the other executive assistants in the office when requested.
• Arrange and maintain a reasonable smooth-flowing calendar for the CNEO and ensuring the appropriate materials are available for meetings. Take initiative to reschedule appointments when necessary.
• Schedules meetings accordingly. Prepare agendas for meetings and nursing leadership meetings; follow up on agenda items requiring follow up as directed.
• Act as recording secretary for b meetings. Transcribe minutes in a timely manner.

Minimum:

• Minimum of two years of customer service experience.
• High school graduate
• Possess excellent customer service skills.
• Proficiency Microsoft product including Excel, Word, PowerPoint and Outlook. Demonstrates proficiency in typing.

Preferred:

• Five years in healthcare related clerical support experience.
• Recent clerical experience within the last five years.
• Project Management experience.
• Associates or Bachelor's Degree.
• Advanced office skills.
