    Overview:
    Keck Graduate Institute (KGI) is looking for an energetic, detail-oriented, motivated, and proactive Executive Assistant to join the KGI School of Pharmacy and Health Sciences (SPHS). This is a full-time, non-exempt position with full benefits.

    The Executive Assistant (EA) for SPHS performs a variety of functions to assist the SPHS Administration with academic and administrative support operations of the school. The Executive Assistant assists the Dean in the processes involved in the preparation of accreditation documents; curriculum implementation and documentation; assessment implementation and documentation; academic standing and progression maintenance; preparation of graduation documentation; maintenance of confidential files for faculty and students; meeting/event planning, as well as assisting with handling phone calls, appointments, and meetings. The Executive Assistant also may support the Associate and Assistant Deans and faculty.

    Education and Experience:
    A Bachelor's degree or equivalent is required, with at least 3 - 5 years of experience in office administration, with increasing responsibilities. Experience in higher education is preferred.

    Essential Functions and Responsibilities : Individuals must possess knowledge, skills and abilities to successfully perform the essential function of the position, or be able to explain or demonstrate how the essential functions may be performed, with or without, reasonable accommodations, using some other combination of skills and abilities.

    Executive support for the Dean: scheduling meetings, travel arrangements, processing expenses, managing calendar, performing data entry as needed, responding to phone and email inquiries, and exercising discretion in knowing to whom and how to route incoming inquiries
    Dean's office communications: Prepare routine correspondence, including letters, e-mails, and draft responses to inquiries, ensuring error-free written communications; periodically send emails on behalf of the Dean
    Administrative support related to ongoing institutional projects for the Deans, including, but not limited to, faculty searches, new academic programs, external contracts, Affiliations, and activities involving Claremont University Consortium members
    Edit, format, and compile SPHS accreditation reports
    Compiles and prepare reports and meeting materials to support EC and SPHS faculty meetings, Dean's student forums, Student leadership meetings with the Dean, alumni meetings, and other meetings with external stakeholders
    Prepare, communicate, and maintain confidential student records and letters (e.g., Probation/Progression/Conduct)
    Prepare academic affairs graduation documentation
    Plan and support SPHS events (internal and external): E.g., SPHS White Coat Ceremony, ASHP and CSHP Reception/Events for Students, Faculty, and Preceptors, SPHS Awards Banquet, and other events as needed
    Assist with onboarding new SPHS staff and faculty
    Supports AA BOT Admin and Materials, as needed
    Assist with SPHS Faculty Bylaws and Committee assignments
    Meet with Dean to provide status updates on the Dean's action items, and follow up with responsible parties, as needed
    Prepare other internal and external reports and presentations, as needed
    Additional functions may be assigned as needed by the Dean

    Ability to proofread and edit written documents; ability to effectively communicate orally, ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions.

    Demonstrated advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    Skill at exercising discretion and managing confidential records and information.
    Skill in exercising tact and judgment and a positive, professional attitude towards administration, faculty, staff, students, board members, and visitors. Requires utmost skills in professionalism, leadership, and teamwork.
    Exhibit excellent organizational and time management skills and the ability to manage multiple tasks simultaneously.
    Ability to research and resolve office procedural issues.
    Strong customer service and communication skills.
    Ability to function both independently and within a team.
    General knowledge of medical terminology or general pharmacy concepts is preferred.
    Ability to work flexible hours, and work weekend and evening hours, as needed.
    Strong work ethic and team-based approach to working in a high-volume environment.
    Superior writing skills.
    Ability to work comfortably, respectfully, and competently with people of diverse backgrounds.
    Ability to lift 20 pounds/participate in the light set-up for school events.

    Hours, Classification, and Status:
    This is a full-time, hourly position. The regular hours of this position are Monday-Friday, 8:00 am-5:00 pm. Hours may vary due to the needs of the institute or department.

    Hourly rate range: $25.00 - $29.00. The hourly rate of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty, and training.

    Special Requirements:
    Keck Graduate Institute has implemented a SARS-CoV-2 (COVID-19) Vaccination Program covering all employees and students. Employees must submit proof of vaccination or an Institute-approved exception or deferral to comply with the policy.

    Physical and Mental Requirements

    Ability to maintain good concentration level while dealing with interruptions; attention to detail with emphasis on accuracy; capable of giving, receiving, and analyzing information, formulating work plans, and articulating goals and action plans.
