    Job Summary:
    The Executive Assistant provides high-level administrative support for company leaders to ensure they can efficiently accomplish key tasks and company initiatives. This is an important role within Windsong, a US Radiology company supporting the Practice with a variety of tasks and projects, including but not limited to general administrative and business support to all departments within Administration including but not limited to FP&A, marketing, human resources, and the Physicians etc.

    Duties/Responsibilities:
    • Creates a positive customer experience by representing Windsong and the US Radiology Way
    (95%) Administrative Support
    • Provides high-level administrative support and assistance to the executive leadership and president.
    • Manages calendar, including scheduling meetings, confirming appointments, writing itineraries and arranging travel and accommodation.
    • Coordinate conference room scheduling and ordering meals for lunch and dinner meetings.
    • Performed clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior leadership and disseminates to appropriate individuals.
    • Greets, screens, schedules, answers and directs phone calls, questions and/or requests.
    • Provide general support to visitors and acts as the point of contact for internal and external clients, guests, and/or team members.
    • Assist in maintaining governance matters including meeting minutes, agendas, executed documents (utilizing docusign as needed), etc.
    • Handles variety of matters involving patient, provider and employee surveys.
    • Performs office tasks including but not limited to maintaining contact lists and directories, distributing incoming and outgoing mail, lost and found, maintaining records, maintaining/ordering supplies, business cards, and company apparel, and performing bookkeeping by processing and assisting in submission of invoices and purchase reqs.
    (5%) Completes other tasks and projects as assigned

    Required Knowledge, Skills and Abilities:
    • Knowledge of and adherence to company policies and protocols
    • Knowledge of and adherence to HIPAA and safety guidelines
    • Knowledge of intermediate level computer skills
    • Skill in organizing and prioritizing work and following assignments through to completion
    • Skill in written and verbal communication
    • Ability to work independently and in a team environment
    • Ability to work in a fast-paced environment and meet established deadlines
    • Ability to be flexible in schedule and adaptable to constant change
    • Ability to effectively handle details with accuracy
    • Ability to maintain regular attendance and on-time approval to work as scheduled
    • Ability to deliver high quality customer service to internal and external customers by communicating with integrity and compassion
    • Ability to remain calm in difficult situations
    Education and Experience:
    • High School Diploma or equivalent required; Associate degree preferred
    • 2-5 years’ experience working in an administrative support role or secretarial role or as a personal assistant required
    • Experience with Microsoft Office; including Word and Excel
    Physical Requirements:
    • Requires the use of office equipment, such as computers, fax machines, telephones and copiers
    • Requires computer related activities for extended periods of time
    Monday-Friday Days. Hourly rate will be based upon experience.
