Job Overview:
We are seeking a highly organized and detail-oriented Executive Assistant to support our team. The ideal candidate will provide administrative support to the broker and ensure the smooth operation of the office. The ideal candidate will have a strong administrative background and exceptional communication skills, be proficient in computer applications, and have a strong ability to multitask.
Duties:
- Manage executive calendars, schedule appointments and coordinate meetings
- Prepare and edit correspondence, reports, and presentations
- Perform general clerical duties, including photocopying, scanning, filing
- Coordinate travel arrangements and itineraries
- Assist with event planning and coordination
- Answer phone calls and emails and direct inquiries to appropriate parties
- Greet visitors and provide exceptional customer service
- Transcribe meeting minutes and distribute to relevant parties
- Conduct research and compile data as needed
- Assist with special projects as assigned and all other related duties as required
Experience:
- Proven experience as an executive assistant or in a similar administrative role
- Proficient in computer applications such as Microsoft Office Suite (Word, Excel, PowerPoint) and Outlook Calendar as well as DocuSign
- Strong proofreading and editing skills
- Excellent organizational skills with the ability to prioritize tasks effectively
- Ability to handle sensitive information with confidentiality
- Previous experience working at a front desk or in customer service is a plus
