    THE COLLEGE

    Located in the northwest corner of the United States, Peninsula College is nestled in the foothills of the Olympic Mountains. The main campus in Port Angeles, Washington, overlooks the Strait of Juan de Fuca and the nearby city of Victoria, British Columbia, and has easy access to the Pacific Ocean, Olympic National Park, and Seattle. Port Angeles is two hours from Seattle and a one-hour ferry ride to Victoria, Canada. The College is honored to serve six sovereign American Indian nations in the region: Jamestown S’Klallam, Lower Elwha Klallam, Quileute, Makah, Hoh, and Port Gamble S’Klallam.

    THE POSITION

    This position reports to the Associate Dean for International Programs, a specialized program on campus that recruits, admits, retains, provides academic and cultural services to international students and exchange faculty from overseas. The position requires specific knowledge in international visa regulations as it pertains to international student and faculty admissions and processing.

    The position will guide and process admissions of international students and assist student agents in the process of international student and faculty admissions, process international insurance, commissions invoicing, contracts, provides administrative office, budget, and program support for international students, program staff, exchange faculty, and short-term groups and lead international student employees.

    ESSENTIAL FUNCTIONS

    • Manages front desk operations in fast-paced office atmosphere; student traffic, scheduling appointments, answering questions while performing other required duties.
    • Provides information and technical assistance to prospective students, current program participants, staff, and overseas entities regarding admissions, program details, policies, and activities.
    • Responds in a timely manner (24-48 hours) to emails and telephone inquiries from applicants, overseas partners/agents, and local contacts.
    • Evaluates and processes new international student applications, issues letters of acceptance, processes I-20’s, and student files in a timely manner (24-48 hours) in accordance with US Immigration regulation compliance.
    • Serves as a Designated School Official (DSO) Student and Exchange Visitor Program (SEVIS Program).
    • Confers regularly with staff and US Immigration & Homeland Security regarding the interpretation and implementation of immigration policies as they pertain to international students and exchange faculty.
    • Participates in weekly team meetings and/training sessions as assigned.
    • Coordinates office mailing processes for overseas marketing and recruitment in accordance with program goals.
    • Monitors and evaluates statistical data on a daily, weekly, and monthly basis to ensure standards are met, supporting department achievement of enrollment goals and objectives.
    • Updates, tracks, and monitors student enrollment lists in departmental spreadsheet.
    • Verifies international student health insurance, compiles quarterly insurance list to send to provider and process payment.
    • Collaborates with Int’l Student Advisor and other departments to analyze student data regarding student enrollment, insurance, tuition, and graduation.
    • Tabulates and produces quarterly commission statements for processing upon agency review.
    • Assists Associate Dean in creating and monitoring agency contracts.
    • Collaborates with program staff on new student arrivals, orientation, testing, registration, and housing.
    • Assists Associate Dean for International Programs with budget, generating reports, tracking and monitoring expenditures, verifying accurate postings of expenses and funds availability, processing purchase requests, invoices, and fees.
    • Supports staff in student and program activities.
    • Coordinates with Housing Coordinator to send housing placement information to agents/students.
    • Assists Associate Dean for International Programs with short-term program proposals.
    • Supports Associate Dean for International Programs with processing exchange instructor immigration paperwork, insurance, etc.
    • Supports Associate Dean for International Programs with International Visitors Program.
    • Supervises, schedules, trains, and directs the work of student employees.
    • Performs related duties and responsibilities as assigned or required.

    Required knowledge, skills, and abilities

    • Work independently and in teams while maintaining professionalism and modeling the colleges Guiding Principles.
    • Demonstrated experience in providing excellent customer relationship and rapport building skills.
    • Ability to effectively communicate ideas professionally; both verbally and written.
    • Possess analytical and critical thinking abilities.

    • Demonstrated ability in multi-tasking, organizing, effectively prioritizing, follow through, meeting deadlines, and attention to detail.
    • High level of proficiency in computers and related software applications; Microsoft Outlook, Excel, Word, and relative standard office equipment.
    • Ability to handle confidential information professionally and tactfully.
    • Ability to adapt and adjust in a dynamic work environment.

    Required previous experience

    • Experience in working with diverse groups and interacting effectively with coworkers, external agencies, and the public.
    • Demonstrated experience with providing a high level of service.

    Required physical abilities

    • Work is typically performed in an office setting and requires the ability to sit/stand, perform computer data entry, and operate general office equipment for extended periods of time.
    • Must have the ability to use a computer and a variety of office equipment.

    Required work schedule and environment

    • Normal work hours are Monday through Friday, 8 am – 5 pm.
    • May work remotely at times, at discretion of supervisor.

    Required education or certificates

    • Bachelor’s degree or equivalent education/experience.

    Preferred Qualifications

    • Designated School Official (DSO) certification through US Immigration & Homeland Security or possess advanced skills/knowledge for immediate certification.
    • Knowledge and experience working with international students, international student admissions, international faculty and/or international programs, or immigration requirements.
    • Fluency in a foreign language.
    • Experience living/working overseas.
