The State of New Hampshire, Department of Safety, Division of State Police has a full-time vacancy for an Executive Secretary, which has a 37.5 hour work week and is non-exempt.
SCOPE OF WORK: Performs all secretarial and clerical duties in a scientific laboratory employing scientists and technicians providing a statewide support function.
ACCOUNTABILITIES:
Types all analytical reports received from criminalists and laboratory scientists and sends them to the designated state, city, county or federal agency.
Maintains an extensive system of laboratory records and files consisting of case files, photographs, mug shots, dental records, log books , reference materials, and a cross reference system.
Manages all correspondence and record keeping functions associated with statute-mandated responsibilities of the laboratory, i.e., drug report certification, drug destruction and unidentified dead/missing persons dental records.
Receives requests from private firms for photographic reproductions of accident negatives on file in the laboratory, locates and refers filed negatives to the photographic laboratory, returns the finished photographs to the requesting parties, and prepares and issues billing statements to the requesting firms.
Supervises and trains clerical personnel temporarily assigned to laboratory clerical duties.
Operates a computer terminal that interfaces with the Laboratory Information Management System (LIMS).
Maintains the laboratory consumables and product orders to include origination of requisitions, filing of packing slips, and creating authorization to pay invoices.
MINIMUM QUALIFICATIONS:

1.5 Years of additional relevant experience = Associate's Degree
3 Years of additional relevant experience = Bachelor's Degree
4.5 Years additional relevant experience = Master's Degree
Education: High school diploma or high school equivalency credential. Each additional year of approved formal education may be substituted for one year of required work experience.
Experience: Three years of experience in a secretarial position including supervisory, administrative support, or office management experience.
License/Certification: None required.
SPECIAL REQUIREMENTS:
Must be able to pass a comprehensive background check in addition to a fingerprint-based criminal background check and motor vehicle record check.
