Description
The Executive Assistant provides coordination and high-level administrative support of the President & CEO, Board of Trustees and other Executive Team members to facilitate smooth business operations and achievement of strategic goals.

Reporting to the President & CEO, the Executive Assistant has the following primary duties:
- Provides coordination and administrative support to the President & CEO.
- Receives, prepares and reviews incoming and outgoing correspondences, reports, board materials, and other information for accuracy and conformance with established policies and procedures prior to submission for approval.
- Manages, assists, constructs, and advises President & CEO with calendar management in both business and non-business matters including gathering materials, scheduling of and coordination of appointments, resolving conflicts, arranging travel, and other areas as needed.
- Schedules board meetings, board meeting and Trustees’ accommodations, Trustees’ information, as well as serving as Trustees’ Point of Contact, and their accommodations during board meetings and other business related travel; this may include after normal business hours.
- Collects and coordinates information needed to conduct Company business.
- Responsible for attending Board meetings, Board Committee meetings and other Company meetings in order to take minutes, coordinate meetings, and assist with the meetings as needed.
- Supports, coordinates and assists the Executive Team as needed.
- Administers contract management system, scanning in documents and scheduling renewal reminders.
- Responsible for the professional appearance and overall function of the Executive Offices, Board Room and other areas ensuring those areas are ready for the needs of the business.
- As this position is an integral part of the highest levels of the organization and is exposed to confidential and proprietary information, trust and confidentially is mandatory.
- Supports the Company's strategic plan and decisions while leading their areas of responsibilities.

Qualifications
KNOWLEDGE / SKILLS / ABILITIES:
- Associate’s degree in business administration or related field, plus
- At least five (5) years of experience in an administrative support role; or an equivalent combination of education and experience sufficient to perform the essential job duties.
- Proficiency in Microsoft Office suite (Word, Excel, Outlook and PowerPoint); ability to learn and utilize other software applications.
- Prior blood banking or healthcare management experience preferred
- Good understanding and knowledge of sales preferred
- Demonstrated effectiveness in written and verbal communications, interpersonal skills and conflict resolution
- Demonstrated organizational abilities and attention to detail
- Must be self-motivated and dependable and able to work effectively with minimal direct supervision
- Ability to maintain confidentiality of donor, employee and Company information at all times
- Must have excellent internal and external customer services skill.
PHYSICAL DEMANDS / WORKING CONDITIONS / ENVIRONMENT:
- Work is generally performed in an office environment; must be able to sit for extended periods of time
- Requires keyboard dexterity and ability to look at computer for extended periods
- Low risk of exposure to infectious diseases from blood and blood products
- May require occasional lifting of up to 20 lbs

- Requires occasional travel (including overnight) to other centers and for external meetings; must possess a valid driver’s license and be insurable by our commercial auto insurance carrier
