Patient Services Representative Supervisor (School Based Health Center)

  • A School Based Health Center (SBHC) Patient Service Representative (PSR) is the first point of contact between the student and their families and our School Based Health Center. The SBHC PSR will be responsible for supporting the students and their families either in person or via the phone; will have a welcoming voice and offer a professional invitation to our clinic. This position includes scheduling, patient outreach, and ensuring care is coordinated and integrated between all three service lines (medical, dental, and behavioral health).


    The SBHC PSR Supervisor will complete SBHC PSR responsibilities at an SBHC site and supervise the SBHC PSRs for all sites. This position may be asked to occasionally work at administrative offices located in Frisco, CO, and travel to other SBHC sites.


    Essential SBHC PSR Functions:

    • Operations: Transitioning the Patient from the point of contact to their appointment, through to patient checkout. Maximizing patient scheduling opportunities with attention to operational flow and the needs of the patient.
    • Screen all new and established patients for eligibility for all School Based Health Services.
    • Patient Appointment Preparation: Prepare patient records for appointment readiness. Gather required paperwork and update demographics, insurance, and enrollment for accurate records completion in the Electronic Records system.
    • Responsible for filling schedules, scrubbing, and reminder calls for assigned SBHC sites.
    • Collect payment and complete end-of-day reconciliation.
    • Participate in school and community events including, but not limited to, back-to-school nights, school registrations, and SBHC immunization clinics.
    • Lead and participate in team huddles.
    • Provide administrative support for integrated care.
    • Other duties as assigned by the SBHC manager.

    Essential SBHC PSR Lead Functions:

    • All essential SBHC PSR Functions at the SBHC site
    • Supervise all SBHC PSRs - coordinate their schedules, manage time off requests, and support hiring, onboarding, and training.
    • Support all SBHC PSRs by being their first point of contact and providing information and materials to perform their job responsibilities.
    • Coordinate with the SBHC Program Coordinator for SBHC PSR coverage
    • Assist SBHC Program Coordinator with initial SBHC PSR initial training.
    • Organize and conduct training for SBHC PSRs
    • Conduct monthly SBHC PSR Meetings
    • Monitor SBHC PSR scrubbing, IntakeQ, internal referrals, and billing task messages.
    • Download patient SBIRT screeners and upload these into the patient’s chart.

    Additional Requirements:

    • Grants are a vital part of Care Clinic revenues and directly or indirectly support all positions. This role may have responsibilities that are closely associated with grant deliverables. Grants and grant responsibilities may change over time.
    • Complete all required training as designated by HR and the position supervisor.
    • Adhere to all policies within the organization and those outlined within the SCCC Employee Handbook.
    • Comply with all SCCC Vaccine Mandates.
    • Willingness to travel and work at other SCCC locations as determined by the supervisor.
    • Comply with all applicable Credentialing and Privileging requirements timely.
    • Embrace the SCCC Mission and Vision and agree to work within the SCCC Guiding Principles and the principles set by the position supervisor.
    • Must participate in quality assurance/ improvement activities when applicable.

    Education/Experience:


    Must Haves to be successful:

    • Associate or bachelor’s degree or equivalent work experience.
    • Proficient customer service skills, preferably in healthcare but not required.
    • Strong written and verbal communication skills.
    • Basic knowledge of digital systems (including Microsoft Office Suite) is required.
    • Critical level of attention to detail, organizational skills, and time management.
    • Ability to read, write, and speak the English language.
    • Ability to be friendly and empathic regarding co-workers and patients.

The environment is primarily clinical, but the individual may work in a clerical setting.
