You’ll be responsible for assisting our high-level executive with administrative duties such as greeting clients and visitors, making travel arrangements, overseeing itineraries, answering phone calls, and managing our office filing system. • Organize incoming information such as phone calls, voicemail messages, emails, and memos and report details to an executive
• Oversee scheduling, including arranging accommodations and travel, managing itineraries, and setting up team meetings
• Other assistant duties as assigned from executives such as pick up orders, and other personal assistant tasks
• Work with an executive to prepare for meetings and record minutes

• Following up after workshops, calling attendees to schedule appointments with advisors
• Assist with off-site events as needed
• Oversee all administrative aspects of workshop and seminar prep, including registrations, confirmations, certificates, badges, evaluations, and mailing materials to site when needed
• Prepare, scan, and copy documents as needed
• Maintain reception area for clients/visitors, greeting them and providing beverages/food for them as required
• Assist all departments with projects and daily tasks

• Accustomed to working on strict deadlines and handling confidential information
• Strong organizational skills, communication skills, time management skills, and interpersonal skills
• At least 2 years of experience as an executive assistant, or experience performing supportive duties
• Must be comfortable using Microsoft Office
