    The Executive Assistant is a critical thinker who supports the CEO and leadership team. The position is responsible for providing administrative support that will enhance the team’s efficiency. All employees are expected to carry out the company’s Purpose and Core Values.


    As an Executive Assistant at Schill Grounds Management, you must be able to perform the following essential functions of the job:

    1. Provide administrative support to the CEO and leadership team. Initiate the coordination of sensitive, confidential, and discretionary documents and tasks with personal integrity.
    2. Effectively manage calendars of appointments, meetings and events; resolve any scheduling issues.
    3. Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents.
    4. Arrange travel; prepare expense reports.
    5. Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
    6. Draft and prepare correspondence for internal communications, executive leadership team meetings, and outside organizations. 
    7. Prepare arrangements for large on or offsite meetings, inclusive of travel, meals and space rental, as needed.
    8. Welcome guests by greeting them, in person or on the phone; answering or directing inquiries.
    9. Maintain work area and office space in a clean and organized manner.
    10. Other duties as assigned.

    Requirements

    • High School Diploma or equivalent. Bachelor’s degree in business administration or related field preferred.
    • Advanced knowledge of Microsoft Office products (Word, Excel, Outlook, etc.).
    • 5 years of experience in office/administrative support; experience working with executives.
    • Experience arranging travel and events.
    • Exceptional verbal and written communication skills and executive phone etiquette.
    • High level of interpersonal skills to interact with customers, executives, and individuals at all levels in the organization in person and virtually.
    • Demonstrated ability to appropriately manage highly sensitive and confidential information and situations.
    • Willingness to respond to calls/emails/texts outside normal business hours as needed. Willingness to travel as requested; less than 10% estimated.
