Compensation: $24 hourly, and $50/monthly auto allowance.
We are looking for a professional and welcoming Administrative Assistant who has an eye for detail, is resourceful, reliable, has exceptional organization skills, and can manage multiple tasks. You should also possess excellent verbal and written communication skills, and be familiar with MS Word, Excel, Outlook, and Power Point.
The position is based at the corporate office in Irvine, across from John Wayne Airport. It is a full-time, onsite position; the hours are Monday through Friday 9 a.m. – 6 p.m.
Job Duties:
Assist Senior Staff with special projects as needed.
Assist Senior Staff with Accounts Payable questions.
Assist with compliance duties.
Review and distribute vendor invoices to appropriate corporate staff members.
Submit approved invoices to the accounting department weekly.
Perform a variety of administrative and clerical tasks including filing, correspondence, etc.
Order property supplies and set up accounts for new acquisitions.
Oversee all utilities correspondence and outages.
Log and track payments for special (non-storage) accounts.
Log and track payments for NSF notices and Credit Card chargebacks.
Update and distribute Property Information Form monthly.
Oversee cell tower checks and record information.
Track, file, and distribute (to sites) facility documents such as licenses, permits, truck/van insurance cards, etc.
Schedule and track monthly/quarterly/annual inspections and tests; follow project through completion and approve invoices as needed.
Oversee Staples account: order office supplies and distribute to corporate staff as needed.
Delinquent accounts: order/distribute auction tags and log sales tax and excess proceeds.
Oversee bad debt tracking log.
