    Job Description:

    We are currently seeking a dedicated and experienced Executive Assistant to provide comprehensive support in operations management, accounting, and administrative tasks. The ideal candidate will have a strong background in utilizing Shopify, ERP software, and Quickbooks, along with exceptional organizational skills and attention to detail.

    Responsibilities:

    • Manage and maintain the Shopify platform, including updating product listings, monitoring inventory levels, and processing orders with precision and efficiency.
    • Utilize ERP software to streamline operations, manage inventory, and optimize workflows, ensuring seamless coordination between departments.
    • Oversee accounts payable and accounts receivable tasks using Quickbooks, maintaining accurate records and timely processing of financial transactions.
    • Provide administrative support to the executive team, including scheduling meetings, managing calendars, and coordinating travel arrangements.
    • Collaborate with the accounting team to reconcile financial data and prepare reports, ensuring compliance with accounting standards and company policies.
    • Identify opportunities for process improvement and efficiency enhancement, implementing solutions to streamline operations and increase productivity.
    • Maintain meticulous documentation and records, ensuring data integrity and accessibility for reporting and analysis purposes.
    • Assist with various projects as needed, conducting research, analyzing data, and preparing presentations to support decision-making processes.
    • Serve as a liaison between departments, facilitating communication and collaboration to achieve organizational objectives.
    • Demonstrate flexibility and adaptability in responding to changing priorities and evolving business needs, contributing to a positive and productive work environment.

    Requirements:

    • Bachelor's degree in business administration, accounting, finance, or related field preferred.
    • Proven experience as an executive assistant or in a similar role, with proficiency in Shopify, ERP software, and Quickbooks.
    • Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
    • Strong organizational abilities, with the capacity to manage multiple tasks and deadlines effectively while maintaining accuracy and attention to detail.
    • Excellent communication and interpersonal skills, with the ability to interact professionally with internal and external stakeholders.
    • Demonstrated initiative and problem-solving abilities, with a proactive approach to identifying and addressing operational challenges.
    • Experience in process improvement and project management is highly desirable.
    • Ability to work independently with minimal supervision, as well as collaboratively within a team environment.
    • Commitment to upholding high ethical standards and confidentiality in handling sensitive information.
