Overview:
The Executive Assistant to the President, West Division will be responsible for a broad variety of administrative tasks that facilitate the President’s ability to effectively lead the organization, including designing and producing complex documents, reports, and presentations, assisting with special projects, collecting, and preparing information for meetings with staff and outside parties. The successful candidate will provide comprehensive support to the President and the Executive Leadership team and will need to exercise a high level of diplomacy and confidentiality, with excellent interpersonal and teamwork skills. This position will office out of our McKinney, TX office. This is an onsite role with some remote flexibility.

What you will do::
- Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements and administrative duties as assigned

Act as a liaison and provide support to the Regional Vice Presidents. Arrange and handle all logistics for Executive meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials

Complete a broad variety of administrative tasks that facilitate the President’s ability to effectively lead the organization including managing an extremely active calendar of appointments and meetings within Outlook; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings

Plans, coordinates, and ensures the President’s schedule is followed and respected

Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the President and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team. Follow up on contacts made by the President to cultivate ongoing relationships

Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President including those of a sensitive or confidential nature and determines appropriate course of action, referral, or response

Partner with Beacon admin team to support large meetings, office events, and employee engagement activities

Design, create, proofread, and update Microsoft PPT presentations, Excel spreadsheets and Word documents

Complete and submit expense reports accurately and timely

Administer general office manager and facilities duties as required

Exceptional service level required; must be available 24/7/365

Minimum travel requirements as needed for business purposes
Physical Requirements

Prolonged periods sitting at a desk and working on a computer and/or keyboard

Heavy methods of verbal and auditory communication via phone, virtual calls, and/or email
What you will bring::
- Minimum High School diploma or equivalency; graduation with an associate degree or higher preferred

5 years of corporate executive administrative experience

Significant experience supporting executives preferably at publicly traded company

Proven ability to build strong relationships within and across teams and departments

Demonstrated success in working in a demanding, high performance work environment

Solid customer service skills and the ability to communicate with all levels of the organization

Excellent verbal and written communication skills

Expert proficiency with Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials

Ability to complete a high volume of tasks and projects with little or no guidance

Able to maintain a high level of integrity and discretion in handling confidential information

Exceptional organizational skills, impeccable attention to detail, flexible and Ability to switch gears at a moment’s notice
