The primary focus is always patient flow, OSA (Originally Scheduled Appointments) and compliance. Check-In is always ready to receive the incoming patients, and she/he is the time-keeper for the office. Check-In CA is secondary for incoming calls and instrumental in setting the patients expectations for their appointment (i.e.: scan, report, consult, x-ray and/or exam).

Job Responsibilities:

During Shift:

• Prepare Huddle o Print Exam List
• Lead Huddle
• Turn Music On/Change during Report time
• Managing the ‘state’ of the office
• Play appropriate workshops at Relaxation Center
• Greet patients
• Check patients in
• Manage Patient Appointments
• Manage Office Flow
• Inform Doctors of Patient Arrivals for Special Appointments (i.e.: NP Exams, Consults and R1s, R2s, R4s and R5s)
• 20 Minute No-Show Emails and Phone Calls
• Adding Missed Appointment Transactions
• Removing the patient from the schedule (“RQ”ing them)
• "Stop Managing” the patient to make-up the missed appointment
• Answer incoming phone calls if Check-Out CA is unable
• Schedule Appointments (Make-up and otherwise)
• Make reminder/confirmation calls for NP consultations
• Print PINCs Daily
• Hand out written pink notes to Doctors and Managers
• Print Daily Transactions/Stats for Adjusting Doctors to review
• Enter and track daily appointment stats
• Lending library maintenance
• Receiving DVD/Audio CD that are being returned
• Entering/Deleting proper transactions and “stop managers”
• Promote “promotions” with hand-outs, flyers and communications
• Send Email reminders for Next Day/Monday appointments
• Close Arrivals Program

Team Meeting Responsibilities:

• NP Numbers for last week
• NP Numbers for current week
• Total Patient Visits for last week
• Actual Scheduled Visit for current week
• Compliance for last week
• Time performance Graphic
• Be ready to receive additional tasks/assignments

Weekly Closing Responsibilities:

• Update NP Schedules
• Welcome Letters
• Monday’s Huddle Sheet
• Weekly Stats o Reminder calls
• Update D-tech Slides
• Reminder Calls
• Birthday Calls/PINCs
• Update Voice Mail if needed (include upcoming workshops)
• Shred papers in Shred Bin
• Shut-off Monitors in Changing Room

Qualifications

• High school diploma / GED required. Advanced degree preferred.
• 2 years of customer service experience. Healthcare industry experience preferred.
