    Position is located at 800 N Osage Street in Dewey, Oklahoma.

    Position is expected to be in the office full time, but remote availability depending on the situation.

    Position is Monday through Friday 8 am to 5 pm with additional hours as necessary based on workload.

    Summary:

    SUMMARY: The Trust Operations Assistant Manager is r esponsible for assisting the Trust Operations Manager in the daily workflow in Trust Operations. The incumbent also supervises day-to-day activities of a trust operations unit specializing in either the Asset Services, Account Services, Reconciliations, User Support/Training, or System Administration areas. Unit supervised is of greater complexity and variety of activities. Ensures that activities are conducted efficiently and timely and according to established policies, procedures and regulations. Assigns, prioritizes and monitors work. Maintains ongoing contact with other areas of the trust company. Exercises initiative and creativity in identifying improvement opportunities, responding to issues and developing solutions and maintains knowledge and ability to act independently and make good business judgements.

    Ensures that own work, as well as work of any associates supervised, is in compliance with applicable laws, regulations and guidelines, as detailed in policies located on Company intranet; policies include but are not limited to Trust Policies, Know Your Customer, Bank Secrecy Act and other applicable anti-money-laundering policies.

    ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

    1. Supervises day-to-day activities of a trust operations unit specializing in either the Asset Services, Account Services, Reconciliations, User Support/Training, or System Administration areas, ensuring that activities are conducted efficiently and timely and according to established policies, procedures and legal and regulatory guidelines.

    2. Supervises staff, assigning, prioritizing and monitoring work; provides leadership, coaching, counseling and guidance to staff; assigns tasks and responsibilities. Develops, assigns and monitors plans to ensure completion of goals, objectives and meeting deadlines.

    3. Contributes to development of department policies and procedures in coordination with department management, including responding to business developments and changes; ensures adherence to policies, procedures, standards and guidelines. Coordinates unit compliance with overall department guidelines as well as regulatory agencies.

    4. Supervises completion of ongoing, day-to-day general trust operations work, which may include Fund Cash Accounting, Asset Services, Account Services, Reconciliations, User Support/Training, System Administration or Middle Office, ensuring that work is completed timely and accurately.

    5. Assists staff, other internal departments and outside personnel with questions, resolving escalated issues and problems by conferring with staff, department management, other internal departments and outside contacts as necessary. Maintains ongoing contact with financial advisors, investment companies, vendors and others to resolve issues, develop creative solutions to problems, answer questions and ensure proper processing.

    6. Audits staff work on a regular basis to ensure that transaction recording, data accuracy and other day-to-day policies and procedures are followed and productivity levels are maintained. Coordinates with internal and external auditors, providing information and incorporating recommended changes as needed.

    7. Trains new staff members and other related departments in operations policies, practices and procedures including incorporating procedures for new products, laws and regulations, coordinating with the training department as needed.

    8. Prepares various management reports and other information documenting unit activities; summarizes and highlights important information, incorporating changes and feedback as needed.

    9. Assists in acquisitions conversions, which may include account research and analysis, system integration work, coordination with acquired company staff and other activities.

    10. Maintains in-depth knowledge of applicable laws, regulations and guidelines. Shares knowledge to ensure that staff has complete and current information.

    11. Performs additional duties and participates in special projects as required.

    12. Understand and comply with bank policy, laws, regulations, and the bank's BSA/AML Program, as applicable to your job duties. This includes but is not limited to; complete compliance training and adhere to internal procedures and controls; report any known violations of compliance policy, laws, or regulations and report any suspicious customer and/or account activity.

    SUPERVISORY RESPONSIBILITIES:

    Directly supervises two or more fulltime equivalents. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Ensure direct reports have completed required compliance training and are adhering to all internal procedures and controls as it relates to bank policy, laws, regulations and Arvest’s BSA/AML Program. Responsibilities include interviewing, hiring, appraising performance, rewarding, and disciplining associates. The incumbent has the authority and the appropriate influence to make recommendations regarding hiring, firing, advancement, promotion, or any other change of status of other associates within the guidelines of the bank’s procedures and guidelines for such change of status events. The incumbent provides training, planning, assigning, and directing work assignments and schedules; addressing complaints and resolving problems.

    EDUCATION and/or EXPERIENCE:

    • Demonstrated knowledge of general accounting principals as gained through a bachelors’ degree in accounting or finance, or a minimum of 3-4 years previous trust accounting experience.
