Training Assistant is responsible for clerical and administrative duties related to the delivery of training and organizational development programs. Schedules training events, coordinates with instructors, obtains and distributes required instructional materials, and communicates schedules and details. Being a Training Assistant processes enrollments and answers routine inquiries regarding courses, schedules, and locations. Uses an information system or database to enter data and produce reports on training statistics, inventory levels or assessments of the programs and instructors. Additionally, Training Assistant coordinates additional services including technical equipment, meals and refreshments, housekeeping, maintenance or repairs. Requires a high school diploma or its equivalent. Typically reports to a supervisor. The Training Assistant possesses a moderate understanding of general aspects of the job. Location: 6044 Greensboro Highway Quincy, Florida 32351
Status: Full Time, Monday – Friday

Position Summary:
Reports to the human resources manager. Performs a variety of clerical and administrative duties related to human resource administration in compliance with American Correctional Association (ACA) standards, Management & Training Corporation (MTC), Florida Department of Corrections (FDOC) and Florida Department of Management Services (DMS) directives.
Essential Functions:
- Perform clerical functions for the human resources department.
- Maintain confidentiality with all sensitive information relating to the human resource role.
- Maintain and update personnel files.
- Maintain accurate weekly and monthly reports. Coordinate with accounting all payroll changes.
- Process paperwork for terminating employees, including retirement report and forms when applicable.
- Inform new employees of available insurance benefits, procedures, etc. Coordinate with insurance company regarding claims, resolution of problem cases, and other related functions.
- Receive visitors and telephone calls; handle routine matters personally and direct non-routine business to proper staff for consideration.
- Create various reports as required.
- Coordinate and track employee leave of absence to ensure proper documentation is received by the third-party administrator. Follow up with employees when notification is received for denied leaves of absences.
- Maintain and update information regarding employee service awards and coordinate with Warden on presentation of awards.
- Provide follow-up correspondence to applicants and agencies regarding employment status.
- Assist the manager, human resource in the advertisement of all open positions with internal and external recruitment sources.
- Assist the manager, human resources in conducting new hire orientation and ensure all new hire information and other personnel changes are entered into the computer and proper notifications forwarded to payroll and ensure adequate, current and updated personnel records are maintained.
- Promote the development of positive social skills through modeling appropriate behaviors and intervening when inappropriate behaviors are observed.
- Maintain accountability of staff, inmates and property; adhere to safety practices.
It is expected that the incumbent shall perform other duties as assigned within his/her capabilities as determined by management.
Education and Experience Requirements:
High school diploma or equivalent, two (2) years clerical or related experience, and computer proficiency required. Prior human resources experience preferred. Valid driver’s license in the state of Florida with an acceptable driving record required, unless waived by management.
Post Hire Requirements:
Must successfully complete annual in-service training requirements.
