General Description:

As a Accounting Specialist, this position is responsible for supporting the Finance Department with various functions such as Accounts Payable, Accounts Receivable, Payroll , General Accounting and other administrative tasks as required by Culinary Academy of Las Vegas (CALV) Guidelines and Government Regulations.

Essential Functions:

• Assembles/verifies supporting documentation and processes vendor invoices for payment
• Process credit memos
• Answers vendor inquiries by researching accounts
• Maintains vendor master file
• Processes payroll in an automated online software solution
• Processes remote bank deposits
• Receives and reconciles credit card expense reports
• Prepares sales orders for student tuition and related charges with associated documentation
• Prepares invoices for non-grant funded student tuition and related charges
• Prepares invoices for contracted meals
• Records bank transfers
• Posts inventory entries/uploads
• Prepares account reconciliations
• Maintains financial historical records by filing accounting documents
• Interacts with insurance providers to obtain Certificates of Insurance (COI)
• Tracks and manages business license renewals
• Track vendors and prepare 1099’s annually
• Assembles documentation for annual financial audit by external auditors
• Proofs reports for accuracy
• Secures financial information by performing database backups
• Maintains financial security by following established financial controls
• Other duties as assigned

Minimum Qualifications:

• High school diploma/GED, Associates degree preferred
• Previous experience as an accounts receivable/payables clerk or in similar role (2 years)
• Working knowledge of Quickbooks ERP or similar accounting software
• Working knowledge of Microsoft Office
• Excellent math skills
• Strong attention to detail
• Strong communication, organizational and time-management skills
• Working knowledge of accounting standards and regulations

Knowledge, Skills & Abilities:

Knowledge of the principles of effective communication, including writing clearly and accurately. Knowledge of local, state, and federal taxes. Knowledge of business law and Department of Labor regulations. Knowledge of accounting systems including Quickbooks. Knowledge of GAAP principles. Knowledge of automated payroll systems (ADP,Paychex)

Skilled in Microsoft Office (Access, Outlook, Excel, PowerPoint), organization & time management. Strong project management skills. Must possess strong interpersonal and customer service skills.

Ability to communicate to a range of audiences to convey information effectively, persuasively, and accurately. Must be able to multi-task, maintain a high level of professionalism, and remain calm under pressure. Ability to exercise judgment in evaluating situations with the ability to use independent judgment.
